Responsibilities
- Draft rental agreements and coordinate DocuSign
processes, including applicable addendums.
- Send welcome letters and guide new tenants
through rent payment and maintenance request procedures.
- Monitor property management software for
maintenance requests and follow up to ensure timely resolution.
- Schedule recurring property tasks, periodic
walkthroughs, and coordinate HVAC services across properties.
- Send seasonal maintenance notices (e.g.,
sprinkler system winterization).
- Create and document standard operating
procedures (SOPs) and task checklists for operational consistency.
- Design new forms and documents as business needs
evolve.
- Build self-managing systems and structured
workflows for ongoing efficiency.
- Organize and pre-schedule property-related tasks
using company calendar systems.
- Support future bookkeeping and financial
management tasks as the role expands.
Requirements
- Proven experience in property management or a
related administrative role.
- Ability to work independently and take
initiative in process development.
- Strong communication skills for interacting with
tenants, vendors, and owners.
- Proficiency with property management software
and DocuSign.
- Experience with form creation and document
management.
- Bookkeeping knowledge preferred for future
responsibilities.
- Comfortable working in a fast-growing
environment where systems are being built and refined.
