Reports To: Finance Director,
Front Office / Receptionist managing reception and
front-office operations, requiring a Diploma or degree in Front Office
Management or Business Administration with 2-4 years experience in reception or
administration, in an events environment, on-site role.
Our
client in the event industry are looking to hire a Front Office/ Receptionist
who will be responsible for managing the company’s reception and front-office
operations while serving as the first point of contact for clients, visitors,
suppliers and other stakeholders. The role requires a highly professional,
organised and personable individual who can create a welcoming experience while
ensuring the front office operates efficiently. The position will also provide
administrative and coordination support to the wider business and assist with
the smooth running of meetings, visitors, internal communications and office
activities.
Key Responsibilities
Front
Office & Reception Management
- Manage
the reception area and ensure it is professional, clean, organised and
welcoming at all times.
- Receive
and professionally attend to clients, visitors, suppliers, partners and
other guests.
- Answer,
screen and direct incoming calls and enquiries appropriately.
- Manage
incoming and outgoing correspondence, courier services and deliveries.
- Maintain
an accurate visitor register and coordinate visitor access.
- Receive
and direct clients attending meetings, events or consultations.
- Coordinate
meeting rooms, boardrooms and reception facilities.
- Ensure
meeting rooms are appropriately prepared before meetings.
- Manage
front-office stationery and other administrative supplies.
Customer
& Client Experience
- Provide
a warm, professional and consistent experience to all visitors.
- Handle
routine enquiries and direct clients to the appropriate departments.
- Maintain
a high level of confidentiality when dealing with clients and company
information.
- Assist
with client hospitality and meeting arrangements.
- Escalate
complaints, concerns or sensitive matters to the appropriate manager.
Administration
& Coordination
- Provide
general administrative support to management and departments as required.
- Maintain
front-office records, registers and filing systems.
- Assist
in coordinating meetings, appointments and internal activities.
- Support
preparation of meeting materials, schedules and basic reports.
- Assist
with office communications and announcements.
- Coordinate
office supplies and liaise with suppliers where required.
- Maintain
an updated directory of key contacts, suppliers and service providers.
- Support
onboarding arrangements for new employees and visitors where applicable.
Events
& Business Support
- Support
the coordination of internal meetings, corporate functions and office
events.
- Assist
with visitor and client coordination during major project/event periods.
- Liaise
with operations and production teams where visitors, clients or suppliers
require access to the office or operational areas.
- Support
event-related administrative activities as assigned.
- Be
available to provide reasonable additional support during peak operational
periods.
Office
Standards & Compliance
- Ensure
reception and common areas maintain appropriate professional standards.
- Monitor
basic office safety, security and visitor-control procedures.
- Report
maintenance, security, cleaning or facility issues promptly.
- Maintain
confidentiality of company, employee and client information.
- Comply
with company policies, procedures and administrative controls.
Qualifications & Experience
- Diploma
or degree in Front Office Management, Business Administration, Hospitality
Management, or a related field.
- At
least 2–4 years’ experience in reception, front-office, administration,
hospitality or customer-service roles.
- Previous
experience in a busy corporate, hospitality, events or
professional-services environment is an advantage.
- Excellent
written and spoken English.
- Proficiency
in Microsoft Office, particularly Word, Excel, Outlook and Teams.
- Strong
telephone etiquette and professional communication skills.
- Excellent
