Executive Assistant to
the Kenya CEO & COO
We
are seeking a high-caliber Executive Assistant to serve as a strategic
partner to the CEO and COO. You will be the “anchor” of the
executive office, ensuring operational seamlessness, rigorous follow-through on
key initiatives, and the optimization of our leaders’ most valuable
resource: time. This is a role for a master coordinator who
can balance the distinct priorities of two senior leaders while driving a
unified culture of excellence.
Key Responsibilities
- Dual-Executive Calendar & Inbox Management: Proactively
manage the schedules and communications for both the CEO and COO. You will
filter priorities, de-conflict schedules across time zones, and ensure
leaders remain focused on high-impact goals.
- End-to-End Travel & Logistics: Lead the
planning of complex travel itineraries, including flights, accommodations,
ground transportation, and visas. You will manage travel budgets and
ensure expense reporting is filed accurately.
- Meeting Governance & Documentation: Organize
high-stakes board meetings and executive reviews. You are responsible for
setting agendas, capturing accurate minutes, and tracking follow-up
actions to ensure organizational deliverables are met.
- Operational & Cultural Liaison: Serve as the
primary bridge between the Executive Office and internal departments. You
will manage data entry, update internal systems (e.g., Power Apps), and
ensure communication flows smoothly across the leadership team.
- Communications & Reporting: Prepare, format,
and organize high-level reports, memos, and professional correspondence.
You will act as the voice of the executive office, ensuring all outgoing
communication is polished and reflects our standards.

& Profile
- Experience: 2–3 years in executive support,
project coordination, or operations. You have the professional maturity to
hit the ground running from day one.
- Strategic Anticipation: Proven ability to manage
high-volume calendars for multiple leaders, resolving complex scheduling
conflicts and de-conflicting priorities independently.
- Operational Accuracy: A track record of planning
multi-leg travel and logistics with zero errors. You take pride in being
the “unquestioned source of truth” for all documentation.
- Proactive Agency: You don’t wait for instructions.
You are comfortable pushing for clarity, chasing stakeholders for
deliverables, and keeping projects on track with minimal supervision.
- Meeting Excellence: Expert at setting agendas and
capturing minutes in high-stakes environments, ensuring all follow-up
commitments are documented and completed.
- Tech-Savvy: High proficiency in MS Office 365 and
internal databases (e.g., Power Apps), with a natural drive to optimize
processes through technology.
