Reporting to the Programme Manager – Citizens of the Future Scholarship Programme the role holder support drive the day-to-day operational efficiency and administrative effectiveness of the Citizens of the Future Scholarship Programme. This involves managing the end-to-end scholar lifecycle, ensuring the absolute integrity of program data, and coordinating seamless logistical support for all beneficiary and stakeholder engagement activities, in strict adherence to ISO 26000 standards. The role is 1 Year Fixed Term Contract renewable based on performance
Responsibilities
Key accountabilities and decision ownership:
Health and Safety.

Scholars’ Onboarding.
- Support the Program Manager in the end-to-end
onboarding process for new cohorts ensuring a positive and seamless
transition for all scholarship beneficiaries.
- Manage the scholar journey and experience,
actively soliciting feedback to identify emerging trends and inform
programmatic adjustments.
- Coordinate and oversee logistical elements for
all beneficiary engagement, including home visits, school monitoring, and
partner check-ins.
- Contribute to annual planning for scholar
recruitment, accurately compiling logistical budgets and resource needs
for new cohort onboarding.
Maintenance of The Scholarship Beneficiaries
Database.
- Ensure the integrity and compliance of the
scholarship beneficiaries’ database, including timely input, verification,
and management of all personal and performance data.
- Coordinate and execute timely financial
communication regarding fee payments to schools and guardians,
meticulously tracking all receipt and demand documentation.
- Maintain the scholarship beneficiaries Database
by tracking all changes in beneficiary status (residence, school
enrollment, contacts).
Scholarship Mentorship and wellness program.
- Coordinate logistics and administrative
arrangements for mentorship events, school visits, and stakeholder
engagements.
- Facilitate and follow up on scholar wellness and
performance issues identified through termly review workshops and
monitoring visits, ensuring issues are resolved effectively.
- Act as the liaison for the network of Teacher
Mentors, ensuring they are equipped with necessary resources and training
to support scholars effectively.
- Support in the Implementation a real-time risk
identification and escalation protocol for emerging beneficiary issues,
providing the Programme Manager with clear analysis and recommended
actions.
- Execute and document on scholar wellness and
academic issues identified during termly performance reviews and
monitoring visits, ensuring documented resolution pathways.
Communication and Financial Support.
- Assist in the preparation of communication
briefs, reports, and program correspondence to beneficiaries, guardians,
and partners.
- Manage and track the operating budget for key
program activities (e.g., recruitment, events), accurately compiling and
submitting budget expenditure forecasts and variance reports to the
Programme Manager.
Administrative and Logistics Coordination.
- Develop and maintain a centralized, compliant
document management system for all scholarship records, ensuring ease of
access and secure storage.
- Ensure full financial and academic compliance by
meticulously collecting, validating, and collating all fee payment
documentation, fee structures, and performance reports.
- Respond timely and professionally to inquiries
from beneficiaries, guardians, and other stakeholders.
Reporting & Accountability.
- Direct reporting to the Programme
Manager – Education Scholarship Programme.
- Accountability for timely delivery of assigned
tasks and support functions contributing to programme outcomes.
- Regular provision of updates and reports to
facilitate effective programme management.

- Based in Nairobi with occasional travel to
counties for site visits and programme events.

Qualifications
- Bachelor’s degree in education, Social Sciences,
Project Management, or related field.
- At least 5 years’ experience in programme
coordination, administration, or related roles preferably in scholarship
or educational programmes.
- Strong organizational, multitasking, and
communication skills.
- Experience with data management and proficiency
in data management systems
- Ability to work independently and
collaboratively within a team.
- Demonstrated community/customer service
orientation and effectiveness in stakeholder management.
- Knowledge of monitoring and evaluation
principles is an added advantage.
