Job Purpose
Intraspeed
Arcpro is looking for a proactive and detail-oriented Ocean Freight Controller to join their growing logistics team
in Nairobi. The successful candidate will be responsible for coordinating ocean
freight shipments, customs clearance processes, customer communication, and
operational follow-up to ensure smooth cargo movement and excellent customer
service.
Key Responsibilities
Ocean
Freight & Forwarding Operations
- Coordinate shipment handovers from pricing team or clients.
- Open shipment files physically and in CargoWise system.
- Process IDF applications and coordinate inspections with
KEBS-approved agencies.
- Follow up on COC documentation and shipment approvals.
- Coordinate with suppliers, agents, and partners for cargo collection
and booking.
- Share pre-alerts and shipment updates with consignees.
- Monitor shipment arrivals, manifest processing, verification, and
release.
- Ensure accurate billing, file closure, and invoicing.
Customs
Clearance & Documentation
- Verify shipping documents including invoices, packing lists, COCs,
and exemptions.
- Coordinate customs entry registration and payment processes.
- Liaise with declaration and field operations teams on cargo
verification and release.
- Ensure all operational and billing documentation is complete and
accurate.
Road
Transport & Transit Coordination
- Coordinate regional cargo transportation within East Africa.
- Verify COMESA, Certificate of Origin, KEBS/UNBS, and related trade
documents.
- Monitor manifest processing, movement sheets, and cargo delivery
timelines.
- Support transit cargo and transshipment operations.
Customer
Service & Client Communication
- Provide daily shipment updates via email, phone, WhatsApp, and SMS.
- Respond promptly to customer and agent inquiries.
- Maintain strong customer relationships through proactive
communication.
- Resolve operational issues efficiently and escalate where necessary.
- Coordinate delivery schedules with internal departments.
Operational
Compliance & Reporting
- Ensure all third-party documents are uploaded in CargoWise.
- Maintain profitability through effective cost management.
- Ensure timely billing and closure of all shipment files.
Qualifications
- Degree in Business Administration, Maritime Studies, Supply Chain
& Logistics, or related field.
- Certificate in Customs Procedures for Freight Logistics &
Management is an added advantage.
- 2–5 years’ experience in a similar role within a clearing and
forwarding company.
- Experience using ERP systems, preferably CargoWise.
- Strong understanding of freight forwarding and customs clearance
procedures.
