Our
client is a non-profit organization committed to increasing access to menstrual
health solutions and empowering girls and women through sustainable health,
education, and dignity initiatives. They are seeking to recruit a highly
organized and proactive Supply
Chain Officer
to support efficient procurement, logistics, inventory management, and
operational coordination within the Kenya Resource Hub.
The Supply Chain Officer (SCO) will oversee supply chain operations for the Kenya Resource Hub, ensuring efficient procurement, supplier sourcing, logistics coordination, inventory oversight, and operational support. The role will supervise the Resource Hub Coordinator and ensure smooth movement of materials from sourcing through dispatch while maintaining compliance with organizational standards and internal controls.
The
successful candidate will support procurement planning, monitor inventory
levels, coordinate shipments, maintain supplier relationships, and contribute
to efficient and accountable supply chain operations.
Key Responsibilities:
Procurement
& Supplier Management
- Source and evaluate suppliers for raw materials, operational
supplies, and kit production requirements.
- Obtain quotations, analyze supplier proposals, and recommend
cost-effective procurement options.
- Prepare and process Purchase Orders and maintain proper procurement
documentation.
- Coordinate with Finance to support supplier payments and financial
reporting processes.
- Build and maintain strong supplier relationships while monitoring
supplier performance and reliability.
Expediting
& Supplier Follow-Up
- Monitor supplier production schedules and delivery timelines to
ensure timely fulfillment.
- Maintain regular communication with suppliers to mitigate delays and
supply chain disruptions.
- Ensure adherence to agreed specifications, quantities, and packaging
requirements.
- Escalate supply risks or delays to management where necessary.
Shipping
& Logistics Coordination
- Coordinate local and international shipments of materials and
finished products.
- Liaise with freight forwarders, clearing agents, and logistics
providers to ensure smooth delivery processes.
- Ensure accurate preparation and maintenance of shipping and delivery
documentation.
- Support customs clearance and reconciliation processes through
proper documentation management.
Inventory
Oversight & Control
- Oversee inventory management processes conducted by the Resource Hub
Coordinator.
- Review inventory reports and ensure stock records are accurate and
up to date.
- Approve routine inventory transactions and adjustments in line with
internal procedures.
- Monitor stock levels and support replenishment planning to avoid
shortages or overstocking.
Operational
Supervision
- Coordinate quarterly stock counts together with the Finance Manager
to ensure reconciliation with financial records. Supervise and guide the
Resource Hub Coordinator on operational workflows and supply chain
procedures.
- Ensure efficient receiving, storage, preparation, and dispatch of
materials.
- Support smooth coordination of hub activities and accurate inventory
movement documentation.
Supply
Chain Documentation & Reporting
- Maintain proper procurement, shipping, and inventory documentation.
- Ensure all supporting records are properly filed and accessible for
verification purposes.
- Prepare periodic reports on procurement activities, stock levels,
and supply chain performance.
- Monitor key operational indicators such as lead times, stock
availability, and order fulfillment timelines.
Qualifications &
Experience
- Higher National Diploma or Bachelor’s Degree in Procurement, Supply
Chain Management, Logistics, Business Administration, or a related field.
- Minimum of 3 years’ relevant experience in procurement, logistics,
inventory management, warehousing, distribution, or supply chain
operations.
- Membership in KISM, CIPS, or another relevant professional body will
be an added advantage.
- Experience working within an NGO, donor-funded, manufacturing,
warehousing, or distribution environment will be an added advantage.

Additional Duties
Perform
any other duties assigned by the Product Operations Director or management in
support of Resource Hub and supply chain operations.
Physical Demands
- The role may occasionally require lifting or movement of supplies
and materials.
