Import/Export Officer Job in Kenya

Key Responsibilities:

  • Process, track, and dispatch Import Declaration Forms (IDF) to suppliers
  • Secure Certificates of Conformity and KEBS PVOC exemptions.
  • Arrange Marine Insurance Cover for inbound cargo.
  • Process KEBS Consignment Documents upon customs entry.
  • Source quotations and Proforma Invoices from suppliers.
  • Generate system Purchase Orders (POS) and maintain files.
  • Monitor supplier shipping schedules from production to dispatch.
  • Verify that shipping documents match the original PO details.
  • Source, compare, and secure approvals for freight quotations.
  • Send complete documentation to clearing agents for rapid custom clearance.
  • Audit taxes, duties, and levies on Customs Entries for accuracy. Compile and manage documentation for outward export sales. Maintain and update individual import files and registers.

  • Verify third-party logistics invoices before sending them to Accounts. Coordinate with clearing agents to ensure timely invoicing.
  • Send regular logistics updates to Directors, Production, and Stores. File and follow up on cargo claims for damage or shortages. Handle other operational tasks assigned by management.

Qualifications & Experience

  • Diploma in Purchasing & Supplies Management, Clearing and Forwarding, o a related field.
  • Minimum 6 years of shipping, logistics, or clearing experience, preferably i manufacturing.
  • Strong understanding of local and international import/export regulation and customs.
  • High integrity and transparency when handling high-value regulatory paperwork.
  • Strong attention to detail when auditing trade documents and tax figures. • Ability to work productively with minimal supervision.
  • Excellent multitasking, communication, and interpersonal skills.
