Job Purpose
Our
client, a leading property management and letting services firm, is seeking to
hire a Senior Property Caretaker. The
successful candidate will support the management of mixed-use properties
(residential and commercial) through effective supervision of site staff,
coordination of property maintenance, and ensuring optimal occupancy levels.
The role also involves supporting rent collection, managing tenant relations,
overseeing lease administration, ensuring compliance with statutory
requirements, and preparing regular management reports.
Key Duties and Responsibilities
- Supervise site staff including caretakers,
security, contractors and service providers in assigned properties.
- Prepare maintenance related quotations and
supervise repair activities at all levels.
- Occupancy management for optimum property
performance which includes letting and supporting marketing activities.
- Conduct regular property inspections and prepare
inspection reports.
- Coordinate routine and emergency maintenance
with contractors and caretakers.
- Ensure availability and proper utilization of
utilities.
- Maintain updated tenant records, lease schedules
and occupancy reports.
- Handle tenant inquiries, complaints and resolve
minor disputes professionally.
- Support rent collection function and follow up
on arrears.
- Support lease administration including renewals,
terminations and documentation filing.
- Assist in enforcement of landlord’s lien and
legal recovery processes where applicable.
- Ensure compliance with health, safety and
statutory regulations.
- Prepare weekly and monthly management reports.
Key Performance Indicators
(KPIs)
- Reduction of rental arrears within assigned
portfolio.
- Timely resolution of tenant complaints (within
48 hours).
- Accurate and timely submission of weekly and
monthly reports.
- Minimal vacancy rates within assigned
properties.
- Compliance with inspection schedules and
maintenance turnaround time.
Qualifications
- Certificate or Diploma in Real Estate, Property
Management, Business Administration or related field.
- KCSE minimum grade C (Plain).
- At least 1–2 years’ experience in property
management or real estate.
- Exposure to mixed-use property portfolios is an
added advantage.
Skills & Competencies
- Strong communication and negotiation skills.
- Basic understanding of landlord and tenant law
in Kenya.
- Ability to follow up persistently on rent
arrears.
- Good report writing and record keeping skills.
- Proficiency in MS Office (Word, Excel, Outlook).
- High level of integrity and professionalism.
- Ability to work under minimal supervision.
- Basic financial literacy and budgeting skills.
Working Conditions
The role
involves regular site visits within Nairobi and may require occasional work
outside normal office hours to handle emergencies.
