Duties and Responsibilities

Administrative & Front Office Support

  • Professionally answer and direct incoming phone calls.
  • Manage and respond to general company emails.
  • Maintain calendars, appointments, and meeting schedules.
  • Prepare routine correspondence, letters, and emails.
  • Receive visitors and manage front office administration.
  • Maintain organized physical and digital filing systems.

Logistics & Delivery Coordination

  • Coordinate client order deliveries based on confirmed instructions.
  • Follow up with drivers, couriers, suppliers, and logistics providers.
  • Track delivery status and maintain a delivery log.
  • Communicate delivery timelines and updates to clients.
  • Escalate delays, issues, or risks to management immediately.

Compliance & Regulatory Management


  • Maintain a register of all company licenses, permits, and certificates.
  • Track expiry dates and renewal timelines.
  • Follow up with relevant government agencies and regulators.
  • Submit applications and documents as instructed by management.
  • Maintain records of submissions, approvals, and correspondence.
  • Keep a compliance calendar and flag potential risks in advance.

Task Tracking & Follow-Up

  • Follow up on pending actions with internal teams and external parties.
  • Maintain a tracker of tasks, deadlines, and responsible persons.
  • Provide regular status updates to management.
  • Ensure no critical follow-up is missed.
  • Authorized to coordinate, remind, and track matters to completion.

Key Requirement Skills And Qualification

  • Diploma or Bachelor’s degree in Business Administration, Office Management, Secretarial Studies, or related field.
  • Proven experience in secretarial or administrative support roles
  • Excellent organizational and time management skills
  • Strong written and verbal communication skills
  • Ability to handle confidential information with discretion
  • Proficiency in Microsoft Office Suite and digital filing systems
  • Attention to detail and proactive problem-solving ability
