Job Purpose:


To ensure the smooth, professional, and Christ-centered functioning of the office by merging front-office excellence with robust administrative and operational systems. This role serves as the primary point of contact for stakeholders, while overseeing daily operations, facility management, HR coordination, internal communication, and administrative workflows.

Key Responsibilities

Front-Office Excellence & Customer Service

  • Serve as the first point of contact for visitors, parents, staff, partners, and guests.
  • Greet visitors professionally and maintain a welcoming reception environment.
  • Answer, screen, and direct incoming calls efficiently.
  • Handle inquiries, requests, and complaints with integrity and discretion.
  • Maintain reception logs, visitor records, and ensure a tidy, organized, and safe front desk area.
  • Supervise the flow of communication between the front desk and internal departments.

Office Operations & Facility Management

  • Oversee daily office operations, including cleanliness, workspace organization, and readiness of offices, meeting rooms, and shared spaces.
  • Track office assets, equipment, furniture, and keys; coordinate repairs and maintenance.
  • Ensure health, safety, and hygiene standards, including first-aid supplies, fire drills, and evacuation procedures.
  • Manage vendor interactions for office services (cleaning, repairs, maintenance).

Administrative Systems & HR Coordination

  • Maintain digital and physical filing systems.
  • Develop, maintain, and update office policies, standard procedures, workflows, and checklists.
  • Support HR in staff onboarding, orientation, and system access.
  • Maintain employee records, attendance logs, and personnel files.
  • Assist with staff schedules, rosters, and HR administrative tasks.
  • Prepare internal memos, notices, and meeting summaries for smooth communication.

Meetings, Events & Logistics

  • Manage leaders’ calendars, schedule meetings, appointments, and travel arrangements.
  • Coordinate logistics for staff trainings, devotions, retreats, assemblies, and visitor hosting.
  • Ensure meeting rooms are prepared and equipped for activities.
  • Liaise with IT to provide device support and ensure functionality of shared digital tools.

Finance & Procurement Support

  • Assist in office procurement, requisitions, and stock delivery verification.
  • Liaise with Accounts regarding invoices, payments, and office expenditure.
  • Monitor the office administration budget and maintain expense records.

Technology & IT Support

  • Provide basic support for printers, copiers, and office devices.
  • Ensure efficient use of shared digital tools and software.
  • Coordinate IT support requests when necessary.

Qualifications & Experience

  • Diploma or Bachelor’s Degree in Business Administration, Office Management, or related field.
  • Minimum 3–5 years of experience in office administration, operations, or front-office management (NGO/ministry experience preferred).
  • Advanced proficiency in Microsoft Office Suite (Excel mandatory) and shared digital tools.
  • Excellent organizational, communication, and interpersonal skills.
  • Ability to manage multiple tasks independently, maintain confidentiality, and work with integrity.
