Job Purpose:
To
support the school by maintaining accurate financial records, processing
transactions, preparing reports, and assisting with day-to-day accounting
operations.
The Accounts Assistant ensures
financial transparency, accountability, and compliance with relevant policies
and regulations.
Key Responsibilities:
Financial
Record Keeping
- Maintain accurate and up-to-date records of all
financial transactions.
- Update accounting systems with income, expenses,
payroll, and petty cash details.
- Reconcile bank statements and daily receipts.
Fee Management
- Prepare termly fee statements for parents.
- Track student fee payments and follow up on
outstanding balances.
- Issue receipts and ensure timely banking of
collections.
Payment
Processing
- Prepare payment vouchers for approval.
- Process supplier invoices and ensure timely
payments.
- Assist in payroll processing, including
statutory deductions (PAYE, NHIF, NSSF, etc.).
Budgeting
and Reporting
- Assist in the preparation of the school’s annual
budget.
- Support monthly, quarterly, and annual financial
reporting.
- Monitor budget expenditures and flag variances.
Compliance
and Audit
- Ensure adherence to financial policies and
procedures.
- Maintain records required for internal and
external audits.
- Support audit processes and respond to auditor
queries.
Inventory
& Asset Management
- Maintain up-to-date records of school assets and
inventories.
- Assist in periodic stock-taking and asset
verification.
Communication
& Liaison
- Respond to parent and vendor inquiries on
financial matters.
- Coordinate with the school administration and
teaching staff on budget-related issues.
- Work closely with banks and suppliers.
- Assist in other administrative tasks that may be
assigned.
Qualifications:
- Diploma in Accounting or Business Administration
or a CPA Part I is mandatory.
- Experience working in a school is not a must but
is a plus.
- Proficiency in accounting software (e.g.,
QuickBooks, Sage,)
- Excellent computer skills, especially in MS
Excel and Word.
