Accounts Assistant Job in Kenya - School

Job Purpose:

To support the school by maintaining accurate financial records, processing transactions, preparing reports, and assisting with day-to-day accounting operations.
The
Accounts Assistant ensures financial transparency, accountability, and compliance with relevant policies and regulations.

Key Responsibilities:

Financial Record Keeping

  • Maintain accurate and up-to-date records of all financial transactions.
  • Update accounting systems with income, expenses, payroll, and petty cash details.
  • Reconcile bank statements and daily receipts.

Fee Management


  • Prepare termly fee statements for parents.
  • Track student fee payments and follow up on outstanding balances.
  • Issue receipts and ensure timely banking of collections.

Payment Processing

  • Prepare payment vouchers for approval.
  • Process supplier invoices and ensure timely payments.
  • Assist in payroll processing, including statutory deductions (PAYE, NHIF, NSSF, etc.).

Budgeting and Reporting

  • Assist in the preparation of the school’s annual budget.
  • Support monthly, quarterly, and annual financial reporting.
  • Monitor budget expenditures and flag variances.

Compliance and Audit

  • Ensure adherence to financial policies and procedures.
  • Maintain records required for internal and external audits.
  • Support audit processes and respond to auditor queries.

Inventory & Asset Management

  • Maintain up-to-date records of school assets and inventories.
  • Assist in periodic stock-taking and asset verification.

Communication & Liaison

  • Respond to parent and vendor inquiries on financial matters.
  • Coordinate with the school administration and teaching staff on budget-related issues.
  • Work closely with banks and suppliers.
  • Assist in other administrative tasks that may be assigned.

Qualifications:

  • Diploma in Accounting or Business Administration or a CPA Part I is mandatory.
  • Experience working in a school is not a must but is a plus.
  • Proficiency in accounting software (e.g., QuickBooks, Sage,)
  • Excellent computer skills, especially in MS Excel and Word.
