Administrative &Transport Assistant Job in Kenya - Zetech University

Duties and responsibilities

Administrative Duties:

  • Verify incoming deliveries against purchase orders and delivery notes to ensure accuracy and completeness.
  • Inspect goods for quality, quantity, and any damage before acceptance.
  • Accurately record all received items in inventory and asset management systems.
  • Organise, label, and store items systematically in designated locations.
  • Ensure safe, orderly, and secure storage of materials to prevent loss, damage, or misplacement.
  • Issue goods and materials to authorised personnel in accordance with approved requisitions.
  • Maintain accurate and up-to-date records of issued items for accountability and traceability.
  • Conduct regular stock audits, physical counts, and reconciliation of inventory records.
  • Monitor inventory levels to prevent shortages, overstocking, or expiration of materials.
  • Maintain comprehensive records, including purchase orders, delivery notes, stock registers, and inventory reports.
  • Prepare and submit periodic reports on stock movement, discrepancies, losses, or damages.
  • Implement appropriate security measures to safeguard stock and prevent theft or unauthorised access.

Driving Duties:


  • Safely drive authorised personnel to meetings, appointments, and official engagements. 
  • Ensure the assigned vehicle is clean, well-maintained, and in good working condition.
  • Monitor and arrange regular maintenance, servicing, and insurance renewals for the executive vehicle.
  • Maintain accurate travel logs, fuel records, and mileage reports.
  • Maintain confidentiality, discretion, and professionalism at all times. 
  • Any other duties may be assigned from time to time by the supervisor or as captured in the detailed job description

Qualification and experience

  • A Certificate in Business Management or any other certificate-level qualification in a Business-related field from a recognised/accredited Institution.
  • KCSE Certificate or equivalent.
  • Valid drivers license with a clean driving record.
  • At least 3 years experience as a D3 driver in a reputable institution.
  • Basic knowledge of office procedures and administrative support.
  • A Certificate of Good Conduct and Defensive Driving Course is an added advantage.
  • A valid institutional driver’s license will be an added advantage.
  • Past experience in logistics/supply chain operations will be an added advantage.
