Marketing Admin Assistant Job in Kenya - Beneath the Baobabs

Beneath the Baobabs is a unique event space located on the Kilifi coast of Kenya, known for hosting the acclaimed three-day Beneath the Baobabs Festival. This magical East African destination can accommodate up to 10,000 people and aims to foster creativity, environmental sustainability, consciousness, community, and freedom of expression, while showcasing East African music, art, and culture.

Role Description

This is a contract hybrid role for a Marketing Administrative Assistant. The chosen candidate will handle a variety of tasks including providing administrative support, assisting with communication efforts, organizing events and schedules, supporting marketing initiatives, and assisting with sales activities. While the role primarily requires presence in Kilifi, some work from home is acceptable.

Project Coordination


  • Support the team in planning, scheduling, and tracking marketing activities.
  • Keep timelines up to date and ensure deliverables are completed on schedule.
  • Help coordinate communication between departments, vendors, and stakeholders.
  • Assist with administrative and logistical needs for marketing and event operations.

Out-of-Home (OOH) Marketing

  • Assist in the rollout of physical marketing materials such as posters and flyers across key coastal and urban areas.
  • Coordinate with vendors and designers to ensure materials are printed and distributed on time.
  • Support planning for radio interviews, print placements, and outdoor visibility campaigns.
  • Help document and track performance of these physical campaigns.

Digital & Social Media

  • Support the creation, scheduling, and posting of social media content across platforms (Instagram, TikTok, YouTube Shorts).
  • Work with the creative team to curate content that captures the BTB experience, artists, and community.
  • Assist in gathering information and updates on ticketing, accommodation, and event logistics for online communication.
  • Help manage influencer outreach and coordination.

Public Relations & Media

  • Assist in compiling contact lists and coordinating with local and international media outlets.
  • Support the preparation of press materials and artist features for online and print publication.
  • Track and organize media coverage and updates relevant to BTB.

Promotional Events

  • Support organization and setup for pre-festival activations such as city pop-ups, mixers, and launch events.
  • Assist with event coordination: guest lists, venue logistics, and promotional materials.
  • Ensure smooth communication between the marketing team and on-ground crews.

Reporting & Collaboration

  • Report directly to the Head of Social.
  • Participate in weekly marketing meetings and contribute progress updates.
  • Maintain open communication within the team and ensure all assigned tasks align with BTB’s goals.

Qualifications

  • Strong Administrative Assistance and Organization Skills
  • Excellent Communication skills
  • Experience in Marketing and Sales
  • Ability to work in a hybrid environment, both on-site in Kilifi and from home
  • Proficiency with office software (e.g., Google Drive, Sheets and Docs)
  • Experience with Canva is preferred
  • Familiarity with event planning and coordination is a plus
