Role Description

We are seeking a highly organized Executive Assistant with strong tech fluency to join our remote team on a contract basis. You will provide executive-level administrative support, manage daily operational tasks, and assist with project coordination and communications. The ideal candidate is proactive, tech-savvy, detail-oriented, and capable of managing multiple priorities in a fast-moving environment.

This role is essential in ensuring that our leadership team remains focused on strategic priorities while backend logistics run smoothly.

Key Responsibilities


  • Manage calendars, schedules, meeting coordination, and email follow-up
  • Book travel and handle expense reports and reimbursements
  • Prepare documents, presentations, and internal reports
  • Help organize remote meetings, take notes, and track follow-up actions
  • Support onboarding of new freelancers, creators, and collaborators
  • Assist with project coordination (e.g., content pipelines, SOP creation, internal task tracking)
  • Help document processes and communicate updates to internal team
  • Use modern tools (Notion, Slack, Trello, Google Drive, Zoom, etc.)

Qualifications

  • 2+ years of experience as an Executive Assistant or in a high-level administrative support role
  • Excellent written and verbal communication skills
  • Strong organizational and multitasking ability
  • Tech fluent: confident using digital tools, learning new platforms, and troubleshooting basic issues
  • Experience working in a remote environment across multiple time zones
  • Comfortable working independently, with minimal oversight
  • Experience in a startup, creative industry, or digital product environment is a plus
  • Bonus: Familiarity with tools like Canva, ChatGPT, ClickUp, Descript, Airtable, or AI productivity apps
