Basic Job Summary
The job
holder will be responsible for the administration of school programs and act as
a link between the students, external parties, and school management. The role
also includes supporting the Exam Coordinator to ensure smooth administration
and processing of school exams.
Duties & Responsibilities
- Serve as the first point of contact for all
external and internal inquiries by attending to visitors and responding to
general program-related questions (e.g., fees, intakes).
- Administer student satisfaction/course
evaluation surveys every semester, summarize feedback, and share it with
school management.
- Assist in debt collection by generating a list
of debtors from the Academic Management System (AMS) and following up with
students in arrears.
- Receive and direct correspondence from parents
and students to relevant university officers, including special exam
requests, academic leave, and program transfers.
- Monitor class attendance and track absenteeism
by collecting attendance lists from lecturers and forwarding absentee
reports to administrators.
- Ensure timely and efficient student registration
and orientation by preparing orientation materials, registering students
in AMS, and creating e-learning platforms for lecturers.
- Book classrooms via the timetabling system and
allocate venues for classes and meetings.
- Facilitate the processing of lecturers’ claim
forms by documenting and submitting them to the Faculty Administrator and
then to the Finance Department.
- Issue clearance forms and gowns to students
during graduation ceremonies.
Minimum Academic Qualifications
- A Bachelor’s degree in a relevant field.
Experience
- At least 2 years of administrative experience in
a university setup.
