Pharmacy Operations Officer Job in Kenya

About the role

The incumbent will be responsible for the overall assistance of operations of all our pharmacy branches.

Main Responsibilities:

Coordinate, manage and monitor the workings of various departments in the organization.

Review financial statements and data, utilize financial data to improve profitability, Prepare and control operational budgets, Control inventory, Plan effective strategies for the financial well- being of the company.

Improve processes and policies in support of organizational goals; Formulate and implement departmental and organizational policies and procedures to maximize output, Monitor adherence to rules, regulations, and procedures.

Plan the use of human resources, organize recruitment and placement of required staff, establish organizational structures, delegate tasks, and accountabilities, establish work schedules, supervise staff, monitor and evaluate performance.

Monitor, manage and improve the efficiency of support, services such as IT, HR, Accounts, and Finance. Facilitate coordination and communication between support functions.


Manage customer support, plan and support sales and marketing activities.

Liaise with top management, assist in the development of strategic plans for operational activity, implement and manage operational plans

Support director of operations to implement, respond to, manage, and supervise the procurement processes and inventory in all the pharmacy branches.

Provide Specialist expertise for all aspects of medicine management including statutory roles as an accountable officer for controlled drugs among others.

Manage the record-keeping to ensure procurement and inventory and inventory records are accurate up to date accessible, secure and confidential.

To develop robust pharmaceuticals drug inventory management framework ensuring that the procurement, receipt, dispatch, stock control, security, supply, use of safety, and disposal of medicines are of the highest standard and are compliant with relevant policies, regulations, and legislation.

Negotiate best possible pricing to ensure that each of our branches is cost-effective

Communicate any stock issues and proactively ensure appropriate alternatives are implemented to ensure no delays in availing drugs.

To ensure that stock levels of medicines are adequate to cover the budgeted requirements and that the stock is stored in accordance with the manufacturer’s recommendations.

Track and report key functional metrics to reduce expenses and improve effectiveness.

Seek and partner with reliable vendors and suppliers

Monitor and forecast upcoming levels of demand.

The Employee shall also be required to carry out any other suitable duties, which his supervisor may call upon him to perform from time to time.

Education & Experience

A Higher Diploma or Degree in Procurement and Supply Chain Management from a recognized university

Member of the Kenya Institute of Supplies Management with valid procurement license

At least 5 years of proven experience as a procurement officer

Position in the medical industry is desirable

Thorough understanding of supply and procurement techniques

Self-motivated with a results-driven approach

Aptitude in delivering required reports

Computer literacy
