About the Role
The
INGO Forum Coordinator will support effective coordination
among International NGOs operating in Kenya by facilitating information
sharing, strategic engagement, advocacy and analysis on humanitarian, legal,
policy, security and operational issues affecting the NGO sector.
Working under the guidance of the INGO Forum Chairperson and hosted by Acted, the Coordinator will help ensure the Forum remains an effective platform for collaboration, collective action and shared risk management among INGOs in Kenya.
The
coordinator acts in a neutral facilitation role and supports collective
positions agreed by Forum members.
Key Responsibilities
Coordination,
Advocacy & Communication
- Support the activities of the INGO Forum and its members, organizing
regular meetings between Forum members and working groups
- Ensure that all relevant parties including members are kept informed
of INGO Forum activities
- Regularly engage with and meet key stakeholders within the
Government of Kenya, including PBOA
- Developing active networking and partnership building between member
organizations
- Facilitate the development of INGO Forum Terms of Reference and
strategy documents
- Support the production of advocacy and communications products,
including authoring briefings, letters and talking points ahead of key
meetings
- Supporting the development of common positioning on key policy,
operational and funding issues, through providing members with the most
updated information gathered from meetings with various stakeholders,
sectors and working groups.
- Liaising with Coordinators of other NGO Fora, Alliances and
Platforms in Kenya to ensure alignment and information sharing
- Convene additional meetings of interested members on specific topics
as appropriate
Internal
Coordination
- Schedule and facilitate INGO Forum general meetings and sub-working
group meetings, develop agendas and compile minutes of meetings.
- Streamline communication and ensure that key documents, minutes etc.
are shared with the forum membership as appropriate.
- Provide an accessible first point of contact for general inquiries
regarding the INGO Forum and its work.
- Maintain membership lists and databases; maintain and manage the
INGO Forum email address and contact list
- Ensure regular 5Ws mapping of INGOs programmes, activities and
operational presence is conducted and shared among the membership to
facilitate more coherent and efficient responses
- Prepare a workplan to be approved by INGO Forum members
- Implement the workplan and agree on modifications with INGO Forum
members
Analysis
and Information Sharing
- Conduct continuous analysis of contextual, legal, operational, and
policy developments affecting PBO/NGOs in Kenya
- Prepare and circulate briefings and updates to INGO Forum Members,
with advice and recommendations.
- Support INGO Forum Members to ensure their compliance with PBOA
regulations, and other legal and policy requirements – including by
providing ad-hoc advisory support
- Maintain a directory of useful contacts and resources for INGO Forum
Members
- Compile and share useful resources (e.g. reports, HCT minutes, news
articles, situation reports, needs assessments) with INGO Forum members on
at least a monthly
- Conduct regular surveys and gather data and feedback among members
on relevant topics, to enable better coordination and decision-making
- Provide analysis and reports during emergencies, such as drought and
flooding
- Ensure responsible handling & confidentiality of information
shared by Forum members, including data collected through surveys, mapping
& consultations.
Qualifications
- At least a bachelor’s degree in social science, humanitarian aid,
development studies or a relevant field; a master’s degree from a reputed
institution is strongly preferred
- At least 5 years’ experience working for NGOs delivering
humanitarian and development assistance
- Previous experience in an externally facing coordination role within
the NGO sector is required, e.g. humanitarian coordination, consortium
coordination, networking and fundraising positions, advocacy and
communication, etc.
- Strong track record of developing and managing partnerships with
diverse actors, including Government, Donors, UN agencies, NGO partners
and Private Sector
- Excellent knowledge and understanding of NGO management, issues,
legal and compliance aspects in Kenya
- Excellent knowledge and understanding of the humanitarian sector and
landscape in Kenya, including key actors, coordination mechanisms, and
funding mechanisms
- Excellent understanding of humanitarian and development needs,
socio-cultural context, and governance and economic development challenges
across Kenya
- Strong administration, organisation and information management
skills
- Good basic IT skills, including Microsoft Teams, Word, Excel,
Outlook, and Powerpoint; understanding of cybersecurity issues and basic
use of AI and other innovations are an advantage
- Excellent verbal and written communication skills in English
