About The Role
The organization seeks to recruit a
highly organized, proactive, and detail-oriented Project
Administrative Assistant(s) to support
daily administrative and operational activities in various projects being
implemented at ICC. The position will provide essential support to office and
laboratory operations, ensuring effective coordination, documentation,
communication and compliance with established procedures.
Key Duties and Responsibilities
- Manage official correspondence and maintain
effective communication channels.
- Schedule and coordinate meetings, appointments,
training sessions, audits, and other official engagements.
- Record, distribute, archive, and track minutes,
agendas, and action items.
- Organize, maintain, and update laboratory
documentation, including reports, calibration records, and standard
operating procedures (SOPs).
- Assist in coordination of outreach events and
provide logistical support.
- Support document control processes and ensure
secure storage of accreditation and compliance records.
- Assist in the preparation, formatting, and
dissemination of presentations and official documents.
- Facilitate timely follow-up on assigned tasks
and ensure effective information flow across the laboratory and
administrative teams.

- Strong analytical skills with proficiency in
data analysis tools and software.
- Excellent written and verbal communication
skills.
- Ability to work collaboratively in a team and
independently.
- Strong organizational skills and attention to
detail.
- Proficiency in Microsoft Office Suite and other
relevant software.
Qualifications
- Education: At least a diploma or bachelor’s
degree in Secretarial studies / Office management / Business
management / Business Administration / Journalism and
Communication or related field.
- Experience: While this is an entry-level role,
candidates with a background in NGO operations or project management
frameworks will be given priority.
- Expertise in laboratory management and
maintaining compliance with ISO/IEC 17025:2017, ISO 9001:2015, and ISO/IEC
17043:2023 standards.
