Job Summary
Our
client is seeking a highly organized and proactive Personal
Assistant to provide comprehensive administrative
and personal support to senior management. The role involves managing
schedules, coordinating communication, handling documentation, and ensuring
seamless day-to-day operations through efficient, confidential, and
professional support.
Key Responsibilities.
- Manage and maintain the executive’s calendar,
scheduling meetings, appointments, and reminders
- Coordinate internal and external meetings,
including preparation of agendas and minutes
- Act as the first point of contact for calls,
emails, and visitors on behalf of the executive
- Draft, proofread, and format professional
correspondence, reports, and presentations
- Organize travel arrangements, including flights,
accommodation, and itineraries
- Prepare and reconcile expense claims and simple
expense reports
- Maintain accurate and well-organized physical
and electronic filing systems
- Track action items, deadlines, and follow-ups
arising from meetings
- Coordinate communication between the executive
and internal departments
- Handle confidential and sensitive information
with discretion
- Support the preparation of documents for
approvals and signatures
- Manage office supplies and raise purchase
requests when necessary
- Assist with basic HR and administrative
coordination where required
- Run official and personal errands as assigned
- Ensure smooth daily operations of the executive
office
Qualifications, Experience
& Skills
- Diploma or Bachelor’s Degree in Business
Administration or related field
- At least 1 year of experience in a similar role
is an added advantage
- Excellent organizational and multitasking skills
- Strong verbal and written communication skills
- Proficiency in MS Word, Excel, PowerPoint, and
email applications
- High level of confidentiality and integrity
- Ability to work under pressure and meet
deadlines
- Professional, proactive, and detail-oriented
