Job Summary
CITAM
Seeks to recruit a born-again Christian who is experienced and self-motivated
to fill the position of an Administrative Assistant in one of the Counselling
centres. The Administrative Assistant will
provide efficient administrative and coordination support to the Counselling
Centre to ensure smooth daily operations
The
position reports to the Pastor in Charge of the centre.
Key duties and responsibilities:
- Provide general administrative support including
answering calls, scheduling counselling appointments, managing
correspondence, and welcoming clients with professionalism, sensitivity
and empathy.
- Support counselling operations by managing
appointment calendars, maintaining secure client records, and providing
administrative assistance to counsellors and Centre leadership
- Maintain accurate, secure, and confidential
client records in compliance with ethical standards, data protection
policies, and counselling best practices.
- Provide administrative support to counsellors
and Counselling Centre leadership, including preparation of
correspondence, reports, session documentation, and general office
paperwork.
- Support and coordinate plans for meetings,
travel arrangements, accommodation, and unit programs or initiatives.
- Manage office supplies and consumables,
including inventory monitoring, ordering, and administrative requisitions
in the Ministry ERP System.
- Ensure a pleasant and professional office
environment that supports client experience and staff comfort.
- Take minutes and coordinate logistics for
counselling centre meetings, case conferences, workshops, and training
sessions, ensuring timely communication and follow-up.
- Supervise outsourced service providers to
maintain quality service delivery in the unit.
- Coordinate daily operations and regular
activities of the Counselling Centre
Requirements and qualifications
- Must be a born-again, mature Christian who
conforms to the CITAM statement of faith.
- A Diploma in Business Administration or Office
Management, a certificate in counselling Pyschology or its relevant
training is an added advantage
- Minimum of 4 years’ experience in office
management, experience in a counselling centre will be an added advantage
- Strong organizational skills and attention to
detail with multitasking abilities in a fast-paced environment
- Previous work Experience in a school, a church,
counselling centre or a parachurch organization will be an added
advantage.
- High level of integrity, discretion, and
attention to detail
- Excellent communication, organisational and
interpersonal skills.
