Our
client is a real estate brand in Nairobi, redefining the property experience
for high-end and off-plan investors across Africa, with a strong media presence
and an ambition to lead through storytelling.
They are
seeking a Personal Assistant to
support a fast-moving CEO in a high-volume real estate environment. This
position is the CEO’s control tower—managing time, communication, logistics,
and follow-through—so leadership remains focused on revenue, deals, and
strategy.
Performance Standards (Non-Negotiable)
- Speed & Reliability: Prompt responses and
consistent availability during working hours
- Accuracy: Precision in names, dates, locations,
documents, and financial details
- Ownership: Tasks are followed through to
completion—no reminders needed
- Confidentiality: Absolute discretion; zero
leaks, zero gossip
- Execution: Results matter more than explanations
Key Responsibilities:
Calendar
& Time Control (CEO Gatekeeper)
- Own and manage the CEO’s calendar: schedule,
reschedule, confirm, and protect focus time
- Prepare daily and weekly briefs (priorities,
objectives, key contacts, prep notes)
- Ensure meetings are fully prepared: links,
locations, documents, and agendas in advance
Communication
& Follow-Up Management
- Manage WhatsApp, email, calls, and messages as
assigned
- Triage communication, draft responses, and
escalate using clear guidelines
- Track all requests, commitments, and follow-ups
until closed
Client
& Team Coordination
- Coordinate property viewings, site tours, client
meetings, and developer engagements
- Liaise with internal teams to ensure timelines
and deliverables are met
- Prepare call lists, confirmations, reminders,
and logistics
Administration,
Documents & Deal Support
- Prepare and manage proposals, letters,
agreements, invoices, and reports
- Maintain clean, organized digital files,
templates, and SOPs
- Track deposits, payment plans, milestones, and
deal-related deliverables
CEO
& Personal Logistics Support
- Handle travel bookings, reservations,
procurement, and errands when required
- Maintain strict confidentiality of personal and
business matters
- Keep the CEO’s working environment structured,
calm, and efficient
Education and Experience Requirements:
- Minimum 2+ years experience as a PA, EA, Admin,
or Operations Support
- Strong written and verbal English (professional
WhatsApp & email communication)
- Highly organized and tech-comfortable (Google
Workspace, Excel/Sheets)
- Able to multitask and prioritize
- Proactive problem-solver with strong initiative
- Real estate experience is an advantage
Tools
You Should Be Comfortable With
- Google Calendar, Gmail, Google Docs & Sheets
- WhatsApp Business (labels, quick replies,
broadcasts)
- Zoom / Google Meet
- CRM systems (Zoho, HubSpot, or similar –
advantage)
