The Stores Clerk is responsible for maintaining accurate records of all stock, ensuring that all items are stored properly and efficiently, and assisting in stock control activities. This role plays a crucial part in supporting the smooth operations of the stores department by managing incoming goods, issuing materials, and assisting with inventory management.
Key Responsibilities
- Receive, inspect, and verify all incoming goods
against delivery notes and purchase orders.
- Recording and maintaining daily site materials
dispatchment & Control
- Ensure proper documentation, labeling, and
storage of materials and finished products.
- Record stock transactions accurately in the
inventory management system.
- Track stock levels daily and flag shortages or
overstock situations.
- Support periodic stock counts (daily, weekly,
monthly, annual) and reconcile variances.
- Organize and maintain stock shelves, ensuring
products are easily accessible.
- Inventory Management
- Accurately issue materials, tools, and products
to various departments based on approved requisitions.
- Maintain clear records of items issued and
returned.
- Ensure proper handling to minimize damage,
wastage, or loss.
- Recording and maintaining daily site materials
dispatch.
- Systems & Documentation
- Update stock cards, bin cards, or the ERP system
with real-time data.
- Maintain filing of delivery notes, requisitions,
issue vouchers, and related records.
- Support the digitalization of store records and
reporting.
- Processing sales orders and creating new item
codes in the SAGE system.
- Recording and maintaining daily site materials
dispatch.
- Tools inspection and maintaining a tools
recording Excel sheet to avoid damage and misuse.
- Compliance & Safety
- Adhere to company Standard Operating Procedures
(SOPs) for stock handling.
- Ensure storage areas comply with safety,
security, and hygiene standards.
- Report irregularities, damages, or shortages
promptly to management.
- Collaboration & Support
- Work closely with Procurement, Finance, and
Production teams to ensure material availability.
- Assist in preparing inventory reports for
management review.
- Support audit and verification exercises by
providing accurate stock data.
- Maintain a clean and safe working environment in
the stores.
Requirements Education & Certification
- Diploma or Certificate in Supply Chain
Management, Procurement, Accounting, or related field.
- Additional training in inventory management
systems or ERP is an advantage.
Experience
- 2–4 years of experience in stores, inventory, or
warehouse management.
- Prior experience in manufacturing, construction,
or interior design industries is a plus.
