Responsibilities
- Support in the general administrative operations
and coordinate as appropriate with other UN-Habitat staff and departments.
- Scheduling project meetings schedule, in
relation to the program and handling related correspondence.
- Support project financial management and
reporting by reviewing and consolidating field reports in areas of direct
and indirect implementation.
- Support in updating and monitoring of various
trackers e.g., procurement, travel, recruitment and cash advance.
- Support with travel logistics arrangements e.g.,
flight bookings, car hire and accommodation booking.
- Support in the organization of meetings,
training and conferences including liaison with participants, conducting
site visits, and assisting with writing minutes.
- Provide assistance in the clearance and approval
of legal documents such as Agreements of Cooperation applicable in the
implementation of the project activities.
- Responsible for the project documentation
process, to facilitate the development of the PINUA Knowledge Management
Hub.
- Support in the quality assurance of submitted
reporting documents by Implementing Partners.
- With the support of the ICTS office, assist in
leveraging project automation, managing share drive information,
electronic reporting templates, setting-up on new user accounts, laptop
assignment and troubleshooting of system and network problems.
- Maintain orderly records and files on on-going
projects and project/programme
Qualifications/special skills
- Applicants must at the time of application, meet
one of the following requirements:
- Be enrolled in a graduate school programme
(second university degree or equivalent, or higher),
- Be enrolled in the final academic year of a
first university degree program (minimum Bachelor’s level or equivalent),
- Have graduated with Bachelor’s degree, Masters,
PhD or equivalent. Be computer literate in standard software applications
(Microsoft Office Suite). Have demonstrated a keen interest in the work of
the United Nations and have a personal commitment to the ideals of the
Charter.
- Have a demonstrated ability to successfully
interact with individuals of different cultural backgrounds and beliefs,
which includes a willingness to try and understand and be tolerant of
differing opinions and views.
