(MSF) is an independent international medical humanitarian organization
providing assistance to people affected by armed conflicts, epidemics, natural
or non-natural disasters or persons excluded from access to care health. The
organization has health projects in more than 68 countries.
The Kenyan Supply Unit is
looking to fill the position of Pharmacy Assistant. The successful candidate
will be under the direct supervision of the Responsible Pharmacist.
Objective of the Position
- Performing
the day to day activities in KSU pharmacy department according to MSF
protocols and standards in order to ensure an optimal running of
activities.
Tasks & Responsibilities:
- Ensure
accurate and timely data entry in Pharmacy and Poisons Board (PPB) system
for the application of import and export permits.
- Verify
stocks for disposal and apply for destruction to PPB according to the
schedule defined by the Responsible pharmacist. The application is
followed up with the PPB.
- In
collaboration with the Responsible Pharmacist, support KSU team during
inventory in the warehouses.
- Support
the Responsible Pharmacist in verifying quarantined stocks that are
subject to batch recalls or quality alerts.
- Assist
the Responsible Pharmacist with the Good Storage and Distribution (GSDP)
self-inspection. Report observations and other outcomes and work
proactively on the CAPA and implementation of it.
- In
collaboration with the Responsible Pharmacist ensure the GSDP guidelines
and the procedures stipulated in the organization’s Quality Management
System (QMS) are implemented and followed by all the relevant departments.
This involves training the teams and monitoring adherence on regular basis.
- Download
monthly the temperature readings from all the medical warehouse and cold
room, analyze the readings and share with the Responsible Pharmacist the
findings then file the hard and soft copies according to GSDP guidelines.
- Support
the Responsible Pharmacist in opening and following up Corrective Action
Preventive Action (CAPA) arising from any deviations in procedures.
- File
job cards/delivery notes, temperature records, cleaning records, any
correspondence and other relevant documents given by the Responsible
Pharmacist.
- Responsible
for checking in collaboration with storekeepers incoming locally procured
medical items during the reception process in the warehouse according to
the goods reception Standard Operating Procedure (SOP). Any non-conformity
needs to be reported to Responsible Pharmacist immediately per the
procedures.
- Is
the back-up for the Responsible Pharmacist on tasks and responsibilities
according to the SOPs for the department and tasks requested by the
General Manager.
- Ensure
overall integrity, accuracy and tidiness of information shared, the filing
system, ERP system, and other databases that are linked to the position.
- Support
the Responsible Pharmacist in drafting, reviewing and updating SOP’s and
WI’s for the organization.
- In
addition, perform any other duty as assigned by the Responsible Pharmacist
in order to allow the organization to function optimally
Qualifications &
Requirements:
- Education: Diploma in Pharmaceutical
Technology from a recognized institution and active Pharmacy & Poisons
Board registration, or Diploma in biomedical sciences
- Experience: At least 2 years’ experience in
Pharmacy administration and procedures; Previous working experience with
MSF or other NGOs is preferable. Working with Trade Facilitation platform
from Kentrade is an advantage.
- Skills/
Competences: Excellent
verbal and written communication skills, self-driven & self-motivated,
excellent time management, attentive to detail, flexible and adaptability,
results and quality orientation, teamwork, commitment to MSF principles,
culturally sensitive and able to work under pressure.
- Knowledge: Computer literacy (Microsoft
Office Outlook, Word, Excel, PowerPoint)
- Language: Proficiency in written and oral
English & Swahili.
