HR & Operations Officer providing human resource support and operational coordination, requiring a Bachelor’s degree in Human Resource Management or Business Administration with 3+ years experience in HR operations, in an events environment, on-site role.
Our client in the event
industry are looking to hire a HR & Operations Officer will provide
effective human resource support and operational coordination to ensure smooth
business execution. The role will manage day-to-day HR processes, employee administration,
workforce coordination, compliance, and operational support while enabling
teams to deliver high-quality events and client experiences.
The ideal candidate should be
highly organized, people-focused, commercially aware, and comfortable working
in a fast-paced environment involving permanent employees, project teams,
creatives, technicians, and temporary event staff.
Key Duties & Responsibilities
Human
Resources Management
- Manage
daily HR operations including employee records, contracts, onboarding,
confirmations, transfers, and exits.
- Maintain
accurate employee files and HR databases.
- Coordinate
recruitment processes including job postings, shortlisting, interviews,
reference checks, and onboarding.
- Support
manpower planning for events, productions, and business projects.
- Coordinate
staff attendance, leave management, timesheets, and workforce scheduling.
- Support
payroll preparation by providing accurate HR inputs including attendance,
overtime, allowances, deductions, and changes.
- Ensure
compliance with statutory requirements including NSSF, SHIF, PAYE, Housing
Levy, and other labour obligations.
- Support
implementation of HR policies, procedures, and employee guidelines
- Coordinate
employee performance appraisals, ensure timely reviews, maintain accurate
records, and support performance and development initiatives.

Employee Relations & Engagement
- Act
as the first point of contact for employee HR-related matters.
- Support
employee relations processes including grievances, disciplinary matters,
and conflict resolution.
- Promote
a positive workplace culture aligned with company values.
- Coordinate
employee engagement initiatives, training programs, and internal
communication.
- Support
performance management processes including reviews, feedback cycles, and
documentation.
3.
Operations Coordination
- Support
smooth daily business operations across departments.
- Coordinate
operational requirements for events, productions, and client projects.
- Maintain
operational schedules, trackers, and reports.
- Support
resource planning including staffing, equipment coordination, logistics,
and departmental requirements.
- Liaise
with internal teams to ensure operational readiness before events and
projects.
- Monitor
operational processes and recommend improvements for efficiency.
4. Event
& Project Workforce Management
- Coordinate
deployment of event crew, temporary staff, freelancers, and project-based
teams.
- Maintain
staff databases for event staffing requirements.
- Track
attendance, assignments, and performance of temporary/project teams.
- Support
onboarding and briefing of event personnel.
- Ensure
compliance with safety, conduct, and operational procedures during
projects.
5.
Administration & Reporting
- Prepare
HR and operations reports including headcount, attendance, staffing costs,
and workforce trends.
- Maintain
HR documentation and operational records.
- Support
audits and compliance reviews.
- Manage
HR systems and improve process digitization.
- Perform
general administrative duties supporting business operations.
Qualifications & Experience
- Bachelor’s degree in
Human Resource Management, Business Administration, Operations Management,
or related field.
- Professional
HR certification (CHRP-K) will be an added advantage.
- 3+
years’ experience in HR operations, administration, or people management.
- Experience in a
fast-paced service, events, entertainment, hospitality, production, or
agency environment is preferred.
- Experience coordinating
large teams, temporary staff, or project-based employees is an advantage.
- Strong
knowledge of Kenyan labour laws and HR practices.
- Excellent
organizational and coordination skills.
- Strong
communication and interpersonal skills.
- Ability
to manage multiple priorities and deadlines.
- Strong
problem-solving skills.
- Ability
to work flexible hours, including occasional evenings/weekends during
events.
- Proficiency
in Microsoft Office and HR systems.
- Ability
to work effectively with creative, technical, and operational teams.
- High
level of integrity, professionalism, and attention to detail.
- Strong
communication and interpersonal skills.
- Ability
to work under pressure and meet tight deadlines.
