Accountant / Administrator, Insurance, Job in Kenya

Accountant / Administrator managing accounting functions and insurance administration, requiring a Bachelor’s Degree or Diploma in Accounting or Finance with CPA Part II and 2-3 years experience, in an insurance environment, on-site role.

Our client is an insurance firm seeking to hire an Accountant / Administrator who will be responsible for managing the company’s accounting functions, insurance administration, client and provider relations, and general office operations. The role ensures accurate financial record-keeping, efficient policy administration, excellent customer service, compliance with statutory requirements, and the smooth day-to-day running of the office.

Key Duties & Responsibilities

Financial Managements Accounting

  • Maintain accurate accounting records by posting all financial transactions, including client invoices, debit notes, payments, purchase invoices, bank transactions, and journal entries in Birthmark and QuickBooks.
  • Reconcile bank accounts, provider statements, commissions, and client accounts to ensure the accuracy of financial records.
  • Prepare eTIMS invoices for provider commissions.
  • Process payroll and ensure timely preparation and payment of all statutory deductions and other regulatory obligations.
  • Prepare monthly management accounts, debtors’ statements, provider reconciliation reports, and any other financial reports required by management.
  • Maintain proper financial records and supporting documentation in accordance with company policies and audit requirements.

Insurance Administration

  • Administer all aspects of insurance underwriting for medical, life, general, travel, and other insurance products.
  • Obtain quotations from insurers, prepare comparison schedules, and present suitable recommendations to clients.
  • Process new business, renewals, endorsements, reinstatements, and policy amendments accurately in the Birthmark system.
  • Liaise with clients and insurance providers to obtain information required during the underwriting process.
  • Coordinate and follow up insurance claims through to settlement or repudiation while providing regular updates to clients.
  • Respond promptly and professionally to enquiries from clients and underwriters.
  • Prepare and submit insurance tenders within the required timelines.
  • Maintain accurate underwriting records, reports, files, and system updates.
  • Provide technical and administrative support to colleagues on underwriting matters where required.
  • Client C Provider Relationship Management
  • Prepare and issue client invoices, debit notes, and monthly statements. Record all client and provider payments accurately and on time.
  • Maintain positive relationships with clients and insurance providers by delivering timely, professional, and efficient service.
  • Resolve client and provider queries promptly and escalate complex issues where appropriate.
  • Ensure all assigned work is completed within agreed service standards and timelines.

Office Administration

  • Maintain organized physical and electronic filing systems in accordance with company procedures.
  • Handle printing, photocopying, scanning, filing, and document management.
  • Answer telephone calls, respond to enquiries, and direct communications appropriately.
  • Ensure the smooth day-to-day running of the office, including monitoring office cleanliness, staff punctuality, utility payments, licence renewals, and general office administration.
  • Maintain company records, databases, logs, and server files in accordance with office standards and procedures.

General Responsibilities

  • Maintain confidentiality of all client, company, and financial information.
  • Ensure compliance with company policies, insurance regulations, accounting standards, and statutory requirements.
  • Deliver excellent customer service and maintain professional relationships with clients, insurers, and other stakeholders.
  • Demonstrate initiative, professionalism, accuracy, and attention to detail in all duties performed.
  • Undertake any other duties or responsibilities that may be assigned by management from time to time.

Qualifications and Experience

  • Bachelor’s Degree or Diploma in Accounting, Finance, Business Administration, Insurance, or a related field.
  • CPA (Part II or above), ACCA, or an equivalent professional qualification will be an added advantage.
  • Minimum of 2–3 years’ experience in accounting, administration, or the insurance industry. Working knowledge of QuickBooks, Birthmark, Microsoft Excel, and other Microsoft Office applications.
  • Experience in insurance brokerage or insurance administration will be an added advantage.
