Store Administrator Job in Kenya - Strathmore University

Basic Job Summary  

  • The job holder is responsible for ensuring that optimal stock levels are maintained at all times and internal orders from departments are serviced promptly. 

Key Responsibilities   

Receiving Goods  

  • Track and expedite orders to ensure timely delivery as per the approved purchase orders issued to suppliers  

  • Inspect and verify all goods delivered to ensure conformance to order specifications, quality and quantities.  
  • Posting all received invoices into the management system daily.  
  • Generate a Good Received Note (GRN) and attach it to the invoices as required.

Issuing Goods  

  • Receive approved internal orders for goods at the store and issue as required at the specified times.  
  • Issue Goods from the store as per the approved internal orders  
  • Replenish supply inventories following the established guidelines of the company Monitoring stock levels  

Record Keeping  

  • Post all the stock data into the system/s as required and prepare the required reports at the specified times  
  • Facilitate the monthly stock taking exercise and report accordingly as required  
  • Maintain the store’s filing system and keep in safe custody all related files, records, and other documents in their complete form, as per policy  

Administration  

  • Ensure that the Warehouse and/or store comply with OSHA requirements.  
  • Collect, analyse and report to the Procurement Manager on customer  feedback on stores’ services and suggestions.  
  • Ensuring other store officers keep proper record and update inventory on time.  
  • Working closely with the procurement department to facilitate purchases  and disposal of excess or obsolete stock items.  

Operations  

  • Keep the stores and warehouse clean, organized and free from any hazards.  
  • Ensure compliance with health and safety regulations as well as the warehouse and stores procedures  
  • Monitor stock levels and re-order supplies as needed to maintain optimal inventory levels.  

Qualifications  

  • Bachelor’s degree in Business-related Degree (Degree Supply Chain, Procurement highly preferable) or any related field from a recognized institution.   
  • Professional qualifications in procurement.   

Experience  

  • At least 2 years of experience in procurement.
