Job Purpose

  • The Administrative Assistant, Department provides efficient administrative and clerical support to ensure smooth day-to-day operations of the Department and effective support to staff and students.

Key Responsibilities / Duties / Tasks

  • Provide administrative and secretarial support to the Department.
  • Manage correspondence, records, filing systems, and data entry.

  • Schedule meetings, prepare agendas and minutes, and coordinate departmental activities.
  • Support coordination of online teaching, examinations, and student-related activities.
  • Assist in preparation of reports, budgets, and procurement documents.
  • Respond to inquiries from staff and students and provide frontline support.
  • Maintain inventory of office equipment and learning resources.
  • Ensure confidentiality and proper record management.

Qualifications Academic Qualifications:

  • Diploma or Bachelor’s degree in Business Administration, Office Administration, or a related field from a recognized institution.
  • Professional Experience: At least 2–3 years’ experience in an administrative role, preferably in a higher education environment.
  • Skills and Competencies: Proficiency in ICT and office applications.
  • Strong organizational and timemanagement skills.
  • Excellent communication and interpersonal skills.
  • Attention to detail and ability to maintain confidentiality.
