Role Overview
- The Academy Administrator is responsible for coordinating the
day-to-day administrative operations of the Synkron Training Center and
ensuring a professional, seamless and responsive experience for trainees,
candidates, clients, trainers and training partners throughout the
learning journey.
- The role serves as the primary administrative and client-service
coordination point for the Training Center, supporting candidates from
initial enquiry and registration through onboarding, training attendance,
assessment, certification and post-training follow-up. The Academy
Administrator coordinates training calendars, registrations, candidate
communication, training logistics, attendance, records, certification
documentation, learning-platform administration, client follow-up and
general Training Center administration, working closely with the Training
Specialist and Junior Trainer so that trainers can focus on high-quality
technical delivery.
- As the Synkron Training Center develops its external commercial
training portfolio, the role also supports client enquiries, training
proposals and quotations, participant registration, payment follow-up,
customer feedback, repeat-training opportunities and the maintenance of
strong relationships with corporate and individual trainees – making the
role central to creating an organized, responsive and high-quality academy
experience that strengthens the Synkron Training Center brand.
Key Responsibilities
- Candidate & Trainee Client Service: Serve as the primary
administrative contact for candidates and trainees, managing enquiries
received through email, telephone, website, walk-ins, training platforms
and client referrals, providing accurate course and registration information,
and escalating technical or complex enquiries to the Training Specialist.
- Candidate Registration & Training Onboarding: Coordinate the
complete trainee registration process – receiving and processing
applications, registration forms, candidate information, supporting
documents and payment confirmations, confirming eligibility, issuing
training confirmations and joining instructions, and maintaining complete
and accurate trainee files.
- Training Calendar & Scheduling Coordination: Maintain the
Training Center’s master training calendar, coordinating course dates,
trainer and room availability, laboratory and equipment requirements,
client-site sessions, virtual training and OEM programs, avoiding
scheduling conflicts and communicating changes promptly to all
stakeholders.
- Training Session Administration: Coordinate all administrative
requirements before, during and after each training session – confirming
participant lists, joining instructions, attendance registers, room
bookings and materials before training; supporting check-in, attendance
tracking and logistics during training; and coordinating attendance
reconciliation, feedback collection, assessment documentation, certificate
processing and candidate follow-up afterward.
- Learner Experience & Engagement: Monitor the candidate
experience throughout each training program, follow up on absences and
missed sessions, maintain professional and responsive communication with
trainees, and ensure complaints and concerns are recorded, followed
through and appropriately resolved or escalated.
- Client & Corporate Training Coordination: Support corporate
clients enrolling employees into Training Center programs, serving as the
administrative coordination contact for assigned corporate engagements,
coordinating participant nominations, logistics, attendance and
certification documentation, and maintaining records to support repeat
business and relationship management.
- Training Records, Certification & LMS Administration: Maintain
accurate and complete Training Center records (participant, registration,
attendance, assessment, feedback, completion and certification records),
coordinate the administrative certification process, and manage
participant profiles, course enrolment, access and reporting within the
learning management system.
- Training Logistics, Reporting & General Center Administration:
Coordinate logistical requirements for Training Center activities (rooms,
materials, refreshments, signage, travel), prepare regular administrative
and training reports, manage correspondence and office/training supplies,
and support the development and continuous improvement of Training Center
administrative SOPs.

Requirements
- Bachelor’s degree or Diploma in Business Administration, Office
Administration, Customer Service, Education Administration, Human
Resources, Hospitality, Marketing or a related field.
- Customer service or administration certification is an added
advantage.
- Training administration or learning-management certification is
desirable.
- Digital/LMS administration training is an added advantage.
Experience
- 2–4 years’ experience in administration, training coordination,
customer service, academy administration, education administration,
hospitality, client service or a related role.
- Experience coordinating training programs, workshops, events or
learning activities is strongly preferred.
- Experience dealing directly with customers, students, candidates or
corporate clients is preferred.
- Experience managing registrations, calendars, records and
participant communication is desirable.
- Experience using an LMS, CRM or similar digital platform is an
advantage.
- Experience within a technical training centre, professional academy,
educational institution or corporate learning environment is an added
advantage.
- Experience supporting commercial training or fee-paying programs is
desirable.

Requirements
- Ability to manage the full training administration cycle, including
candidate registration and onboarding, from initial enquiry through to
certification.
- Strong calendar and scheduling management skills, with the ability
to coordinate multiple training schedules, candidates, trainers and
facilities simultaneously without compromising quality.
