Responsibilities
- Efficiently answer,
screen, and transfer incoming calls to relevant departments in a
professional manner as well as making outgoing calls as appropriate
- Constantly monitor
telephone lines and ensure they are in sound working order and raise a
ticket to report any concerns for IT (Information Technology department)
to follow-up and support.
- Keep a log of all
outgoing calls made daily to ensure maintaining a contact database.
- Handle courier
correspondence and incoming/outgoing courier deliveries and mail,
including tracking and documentation.
- Ensure courier bags are
dispatched to their destinations on time and sharing a report in case of
any delays or challenge.
- Receive visitors and
inform their host/employee accordingly and ensure given the visitors an
orientation (a safety & security brief)
- Ensure that you take
messages and forward to the appropriate persons in detail, messages can be
forwarded via email for those with emails or Microsoft team’s chat.
- Ensure that the reception
is always manned in a professional manner, including Lunch break,
weekends/holidays and ensuring cleanliness and tidiness of the reception
area
Qualifications
- Bachelor’s Degree in
Business Administration, providing a strong foundation in organizational
management, business operations and administrative practices.
- 2–5 years of hands-on
experience in administrative support roles, delivering efficient and
reliable office management services in fast-paced environments.
- Proficient in performing
general office duties, including managing correspondence, forwarding
messages and handling professional email communication with accuracy and
discretion.
- Experienced in
coordinating incoming and outgoing mail and parcels, ensuring timely
processing, tracking and dispatch in line with organizational standards.
- Knowledgeable in visitor
reception and induction processes, maintaining a welcoming, professional
front-desk presence while upholding company protocols and security
procedures.
