Events Assistant Job in Kenya

Role Objective

A hospitality organization in Nairobi is seeking a proactive and creative Events Assistant to support and enhance its events operations. This role is designed to contribute to high-quality event delivery, strengthen guest engagement, and support the growth of the events function.

Core Duties and Responsibilities

  • Help in planning, coordinating, and executing events from preparation through completion, ensuring logistical needs are met.
  • Provide on-site support during event setup, live execution, and breakdown according to company standards.
  • Collaborate with clients to understand event objectives, preferences, and basic budget considerations.
  • Liaise with vendors, suppliers, service providers, and subcontractors as needed.
  • Help prepare event documentation, including contracts, schedules, and checklists under supervision.
  • Support sourcing venues, décor, equipment, and services for private, corporate, virtual, and hybrid events.

  • Contribute to the development of simple event concepts, themes, and layouts based on client needs.
  • Assist with preparation of event programs, attendee materials, and promotional items.
  • Support event communication, including invitations, confirmations, and post-event follow-ups.
  • Help with marketing and promotional activities, including basic social media support.
  • Assist in tracking event expenses and maintaining simple budget records.
  • Support coordination of transport, accommodation, and logistics for staff, guests, and suppliers.
  • Help manage event timelines to ensure tasks are completed on schedule.
  • Assist in resolving on-the-day event issues and escalate challenges when required.
  • Participate in post-event reviews, feedback collection, and reporting.
  • Maintain organized records of event files, supplier contacts, and reports.
  • Contribute ideas to enhance event delivery and guest experience.
  • Perform any other duties as assigned to ensure smooth event operations.

Job Specifications and Qualifications

  • Diploma in Hospitality, Tourism, Business Management, Communication, or a related field.
  • Minimum of two (2) years’ experience in events, hospitality, customer service, or a related support role.
  • Basic knowledge of event planning and coordination.
  • Flexibility to work extended hours and travel when required.
