Role Summary
- The Receptionist serves as the first point of
contact for visitors and clients, providing a welcoming and professional
atmosphere. They handle incoming calls, manage front desk operations, and
perform various administrative duties to support the smooth functioning of
the organization
Desired Profile
- Education:Diploma in Business Administration or
equivalent;
- Additional qualifications in Office
Administration will be an added advantage.pen
Experience:
- Proven work experience as a Receptionist, Front
Office Representative, or similar role
- Proficiency in Microsoft Office Suite (Word,
Excel, Outlook)
- Strong verbal and written communication skills
- Excellent organizational and multitasking
skills
- Customer assistance
Duties & Responsibilities
- Handling visitors in a professional and friendly
manner
- Answering, screening, and forwarding incoming
phone calls
- Maintaining the reception area, ensuring it is
tidy and presentable
- Receiving, sorting, and distributing daily mail
and deliveries
- Scheduling appointments and maintaining
calendars
- Assisting with administrative tasks such as data
entry, filing, photocopying, and scanning
- Providing basic and accurate information in
person and via phone/email
- Monitoring office supplies and placing orders
when necessary
- Maintaining visitor logs
- Coordinating with internal departments and
supporting staff as may be required
Key Competencies
- Experience with office equipment (e.g.,
printers, fax machines, phone systems)
- Knowledge of administrative and clerical
procedures
- Familiarity with scheduling and appointment
management tools
