Our
client is looking to hire an Office Administrator who will be responsible for ensuring the smooth
running of daily office operations, providing administrative support to staff,
and managing office resources efficiently. This role requires excellent
organizational skills, attention to detail, and the ability to multitask in a
dynamic environment.
Duties and Responsibilities
- Welcoming customers and attending to their needs
in a warm and friendly manner.
- Answering the office telephone in a courteous
manner.
- Selling of company products and services to
in-house clients as well as through online platforms.
- Responding to queries that come through the
emails.
- Online marketing of company products and
services to generate sales.
- Making customer quotations and issuance of sales
tax invoices and payment receipts to clients.
- Timely banking of cash sale proceeds.
- Office petty cash management.
- Filling and following up on job cards and film
requisition forms.
- Stock recording and monitoring.
- Timely order placement to ensure neither
stock-outs nor overstocks are experienced.
- Monthly physical stock count and reconciliation.
- Proper filing of all office documents and
information.
- Maintaining, updating, and submitting of daily
sales records.
- Ensure smooth running of the workflow by:
- Allocating jobs to technicians
accordingly
- Supervising the jobs done
accordingly.
- Following up on client feedback and documenting
their feedback.
- Timely preparation and sending of weekly reports
to the management on:
- (Enquiries received via email,
phone, WhatsApp, and walk-ins
- Client feedback
- Technical department performance
- Any matters of concern.
- Overseeing the general branch operations to
ensure everything runs smoothly.
- Any other duty assigned from time to time
Qualifications:
- Bachelor’s degree or a diploma in business
administration or any related field
- Minimum Work
experience of 1-3 years as an admin
- Business savvy
- Flexible mind
- Proficiency in Microsoft Office Suite.
- Strong organizational skills and attention to
detail with ability to multitask and work effectively in a fast-paced
environment.
- Excellent communication and interpersonal
skills.
- High level of discretion and confidentiality.
- Must demonstrate maturity and professionalism.
- Capable of managing high pressure situations
effectively and maintaining a positive and resilient attitude.
- Flexible and adaptable to changing
circumstances.
- Trustworthy and self-driven.
