Job Description

Our client seeks, a leading wood products manufacturer, seeks a Project Coordinator reporting to the Project Manager, to manage daily site operations from planning to installation, ensuring seamless coordination between site and office teams. Responsibilities include material management, progress tracking, issue resolution, and maintaining quality and timelines for each floor’s completion.

Job Responsibilities


Site & Communication Management

  • Coordinate all activities from the plant to site installation.
  • Document and track all communications and requests (via Teams/email).
  • Act as the main point of contact for site-related coordination.

Program & Reporting

  • Update the Program of Works and daily/weekly progress reports.
  • Log daily completed items and submit evaluation reports.
  • Report technician attendance, materials used, units worked, and any delays.

Toolbox Meetings

  • Lead toolbox meetings on Monday, Wednesday (with Project Manager), and Friday.
  • Align teams on work schedules, delivery plans, and escalate non-compliance.

Site Issues & Rework

  • Maintain the Site Issue Book with photos and timely updates
  • Ensure all issues are reported and resolved within 24 hours.

Material & Delivery Management

  • Ensure timely delivery of all required materials within 24 hours of request.
  • Coordinate lift timings and delivery slots (Thu–Sat for key items).
  • Liaise with stores and office teams for dispatch accuracy.

Labeling & Documentation

  • Coordinate labeling with the Design Team; verify stickers with floor plans.
  • Correct errors and report to relevant teams before delivery.

Quality Control

  • Conduct daily QC inspections and maintain QC reports.
  • Book and manage 2–3 client QC inspections weekly.
  • Ensure previous issues are not repeated on new floors.

Finished Goods & Installation Prep

  • Ensure damage-free delivery and proper item placement.
  • Prepare accessory kits by Saturday for Monday installation.

Special Deliveries

  • Schedule and oversee delivery of granite, mirrors, and electrical items.

Team Performance Evaluation

  • Rate installation teams weekly on speed, quality, punctuality, and technical skill.
  • Maintain performance templates and suggest improvements.

Floor Completion & Work Evaluation

  • Manage floor completion, client approvals, and prepare evaluations for payment.
  • Clarify roles in inspection and document liability for delays.
  • Labour Budget Tracking
  • Submit weekly labour budget reports.
  • Compare planned vs. actual performance and flag additional costs or delays.

Requirements

  • Bachelor’s degree/Diploma in Interior Design, Architecture, Construction Management, Wood Products Technology,Business Administration.
  • Solid understanding of design drawings, materials, construction processes, and project workflows.
  • Proficient in MS Office (Excel, Word, PowerPoint); knowledge of AutoCAD, SketchUp, or similar software is a plus.
  • Excellent time management and organizational skills.
  • Strong communication and interpersonal skills for dealing with clients, suppliers, and site teams.
  • Ability to work on multiple projects and adapt to a fast-paced environment.
  • Knowledge of local construction regulations and HSE standards is an added advantage.
  • Experience-3-5 years
