Amotech Africa is seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative support to the Chief Operating Officer (COO) and Chief Executive Officer (CEO). The ideal candidate will have excellent communication skills, strong problem-solving abilities, and the capacity to manage multiple priorities in a fast- paced environment. This role requires discretion, professionalism, and a high degree of confidentiality.
Qualifications & Experience:
- Bachelor’s
degree in Business Administration, Communications, or a related field.
Engineering or legal is an added advantage.
- 3+
years of experience as an Executive Assistant, preferably supporting
C-suite executives.
- Proficiency
in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other
productivity tools.
- Strong
organizational and time management skills with the ability to prioritize
tasks effectively.
- Excellent
written and verbal communication skills.
- Ability
to work independently, exercise sound judgment, and anticipate executive
needs.
- High
level of professionalism and confidentiality.
- Experience
in a fast-paced corporate environment is a plus.
Key Responsibilities:
- Administrative
Support: Manage and coordinate executive schedules,
including appointments, meetings, and travel arrangements.
- Communication: Act as a
liaison betweenexecutives and internal/external stakeholders, handling
correspondence, phone calls, and inquiries efficiently.
- Provide
a bridge for smooth communication between the CEO’s office and internal
departments; demonstrating leadership to maintain credibility, trust, and
supportwith senior management staff;
- Meeting
Management: Prepare agendas, take minutes, and follow up on
action items for key meetings.
- Project
Coordination: Support strategic initiatives by
tracking progress, conducting research, and compiling reports.
- Document
Preparation: Draft, edit, and proofread
presentations, reports, and correspondence.
- Confidentiality
& Discretion: Handle sensitive information with the
utmost professionalism and integrity.
- Office
Operations: Assist with office management tasks, including
supplies, facilities coordination, and vendor management.
- ISO. 9001:2015
: Support
departmental heads with the implementation, documentation, and monitoring
of ISO 9001 quality management processes and procedures. Ensure the COO
and CEO are updated on relevant regulatory requirements
- Board Support
and Liaison In conjunction with the COO Collaborate with key
stakeholders while planning,agenda setting, coordinating and preparing for
the Advisory Board’s meetings
