Receptionist Job in Nairobi, Kenya

Our client is a Kenyan-registered, African-focused mining holding company with operations and subsidiaries across the mining value chain. Its Nairobi Head Office serves as the corporate centre for executive operations, investor relations, regulatory engagement, legal affairs, corporate communications, and strategic oversight. The organisation regularly engages with international investors, government officials, regulators, legal counsel, consultants, suppliers, and other senior stakeholders.


The Receptionist will serve as the primary point of contact for visitors, callers, and enquiries at the Head Office. The role will be responsible for delivering a professional and welcoming front-of-house experience while managing reception operations, the corporate switchboard, visitor access, boardroom logistics, office administration, and vendor coordination.

The role will work closely with the Executive Assistant to ensure the smooth and efficient operation of the Executive Office, while maintaining a high level of professionalism, discretion, confidentiality, and attention to detail.

Key Responsibilities

Visitor Reception & Stakeholder Relations

  • Welcome and professionally receive all visitors.
  • Manage visitor registration, identification, access credentials, and escort arrangements.
  • Notify the relevant executive or employee when visitors arrive.
  • Provide appropriate hospitality to VIP, investor, and senior-level guests.
  • Manage the waiting area and visitor experience professionally, including during delays.
  • Handle difficult or unannounced visitors calmly and discreetly.
  • Direct enquiries to the appropriate contact across the organisation.

Switchboard & Communications

  • Manage the corporate switchboard and answer incoming calls professionally.
  • Identify callers’ needs and route calls to the appropriate person or extension.
  • Screen calls to senior executives appropriately.
  • Maintain an updated internal staff and contact directory.
  • Take accurate and complete telephone messages.
  • Manage simultaneous telephone and visitor demands effectively.

Boardroom & Meeting Room Management

  • Manage boardroom and meeting room bookings.
  • Ensure meeting rooms are properly prepared before meetings.
  • Test AV and video-conferencing equipment and ensure it is operational.
  • Arrange stationery, refreshments, and other meeting requirements.
  • Conduct pre-meeting readiness checks.
  • Coordinate hospitality for investor and senior-level meetings.
  • Ensure meeting rooms are restored to standard after use.

Confidentiality, Security & Access Control

  • Administer visitor NDA and confidentiality acknowledgement procedures.
  • Maintain accurate visitor access registers and guest badge records.
  • Ensure all visitors comply with access control procedures.
  • Maintain strict confidentiality regarding visitors, meetings, documents, and internal matters.
  • Report access system faults and security anomalies promptly.

Office Administration & Vendor Coordination

  • Maintain physical and digital office filing systems.
  • Monitor stationery, pantry supplies, and reception consumables.
  • Raise timely procurement requests.
  • Ensure common office areas remain clean, tidy, well-stocked, and presentable.
  • Coordinate deliveries and collections from couriers and suppliers.
  • Liaise with building management on access, parking, and maintenance matters.
  • Coordinate external service providers visiting the office.

Executive Office Support

  • Provide administrative support to the Executive Assistant.
  • Prepare meeting packs, board folders, and visitor briefing materials.
  • Handle printing, scanning, filing, and basic document management.
  • Support coordination of executive schedules, visitors, meetings, and office operations.
  • Identify and escalate operational issues promptly.
  • Coordinate urgent courier dispatches and maintain appropriate records.

Requirements & Qualifications

Education

  • Bachelor’s degree or Diploma in Public Relations, Communications, Hospitality Management, International Relations, Business Administration, or a closely related field, with strong senior-level front-of-house experience preferred.

Experience & Skills

  • Minimum 4 years’ professional front-of-house or reception experience in a corporate, multinational, institutional, or 4- or 5-star hospitality environment.
  • Experience managing a high-volume corporate switchboard/PABX.
  • Experience hosting international, investor-grade, or VIP visitors.
  • Proficiency in Microsoft 365, including Outlook, Teams, Word, and Excel.
  • Experience with visitor management software is an added advantage.
  • Strong confidentiality and discretion, preferably gained in a legal, financial, executive, or similarly sensitive environment.
  • Excellent spoken and written English.
  • Strong organisational skills and ability to manage multiple priorities.
  • High emotional intelligence and cultural awareness when interacting with diverse stakeholders.

Preferred Attributes

  • Experience in mining, resources, financial services, or professional services.
  • Familiarity with NDA administration, corporate access control, or building security protocols.
  • Experience coordinating international courier logistics such as DHL or FedEx.
  • French or another major international business language is an advantage.
  • Experience working within a multi-entity corporate structure.
