Inventory Officer Job in Nairobi, Kenya - Riana Group

Riana Group is recruiting an Inventory Officer position. Proficiency in inventory management, financial reporting, and supply chain coordination is required.

Key Responsibilities

Inventory Management:

  • Oversee the complete inventory lifecycle including stocking, usage, and disposal.
  • Monitor and report on inventory levels, ensuring optimal stock levels are maintained to support ongoing and upcoming projects.
  • Conduct regular Inventory risk and audit assessments and develop controls to improve efficiencies.
  • Prepare, issue and keep record of delivery notes for inventory-related requests.

  • Keep record and track of material received and dispatched and support in inventory reconciliation in physically and in Zoho.
  • Support implementation of inventory management automation and process improvement initiatives, including but not limited to Material requests process.

Financial Reporting:

  • Develop and maintain detailed financial records related to inventory, ensuring accurate cost tracking, valuation, and accounting for all stock items. Ensure the inventory data is up-to-date at any given time.
  • Record and monitor all inventory transactions, including purchases, adjustments, and disposals, to ensure completeness and accuracy in financial statements.
  • Reconcile inventory accounts regularly to verify that the physical stock matches the financial records and address any discrepancies.
  • Create comprehensive financial reports that detail inventory costs, stock movements, and project-related expenses. These reports should include cost analyses, variance reports, and profitability assessments.
  • Analyze financial data to identify trends, discrepancies, and opportunities for cost savings or process improvements.
  • Provide insights and recommendations based on financial report findings to support strategic decision-making and optimize inventory management.
  • Work closely with the finance team to ensure that inventory financial records are aligned with broader company accounting practices and financial reporting requirements.
  • Ensure compliance with accounting standards, regulatory requirements, and internal policies related to inventory accounting and financial reporting.

Project Support:

  • Work closely with project managers to understand project requirements and align inventory management with project timelines.
  • Ensure timely availability of necessary equipment and materials for ongoing installations and projects.
  • Address and resolve any inventory-related issues that may impact project deadlines or quality.

System Integration:

  • Utilize inventory management software and systems to track and manage stock efficiently.
  • Assist in the integration of new inventory management technologies or processes as needed.
  • Maintain accurate records within the inventory management system and ensure data integrity.

Compliance and Audit:

  • Ensure adherence to company policies and industry regulations related to inventory management and financial reporting.
  • Support internal and external audits by providing accurate documentation and resolving any audit findings related to inventory.

Skills & Personal Attributes

  • Bachelor’s degree in Supply Chain Management, Accounting, Finance, Business Administration, or a related field.
  • Proven 1-2 years of experience as an Inventory Accountant, , or in a similar role, preferably in the IT or technology sector.
  • Strong understanding of inventory management principles, accounting practices, and financial reporting.
  • Proficiency in stock accounting software and inventory management systems.
  • Excellent analytical skills with the ability to interpret financial data and generate actionable insights.
  • Strong organizational skills and attention to detail.
  • Effective communication and interpersonal skills with the ability to work collaboratively with project teams and vendors.

Preferred Qualifications:

  • Certification in Inventory Management (CIMA) or Accounting (CPA) or Supply Chain Management (CIPS-UK /CPSP-K)
  • Experience with project-based inventory management.
  • Familiarity with technology and IT equipment related to CCTV, access control, and other systems mentioned.
