About the role
- The People & Admin
Associate is a key role that ensures the EIDU
Kenya office operates efficiently while providing administrative support
to the People department. In this role, you will be responsible for the
smooth running of our Nairobi office, managing logistics, coordinating travel,
overseeing supplies, and ensuring that day-to-day operations support a
productive environment for the team. You will also support the delivery of
HR administrative processes including onboarding and offboarding
coordination, benefits administration, HRIS record management, and
contract tracking among others.
Key Responsibilities
Office Administration
- Own the day-to-day running of the office —
supplies and equipment orders, office utilization, and logistics ensuring
timely delivery
- Support the planning and coordination of office
events and staff meetings
- Act as a liaison between HR, Procurement,
Operations and Finance for office-related tasks.
- Act as the first point of contact for visitors
and external partners at the office
- Ensure smooth day-to-day operations of the
office environment.
HR Operations Support
- Assist in onboarding and offboarding processes,
including documentation, system setup, and coordination with supervisors.
- Support contract renewals, including tracking
timelines, preparing documents, and follow-ups.
- Assist in benefits administration (medical
insurance, WIBA, pension, HELB) and ensure accurate record-keeping.
- Maintain and update HR records in HRIS
(Personio) and ensure compliance with statutory requirements.
- Assist with payroll documentation and support HR
in performance tracking.
Follow-Up and Coordination
- Monitor and follow up on office and HR tasks to
ensure timely completion.
- Maintain communication with employees,
supervisors, and external partners to support office and HR functions.
General Administrative Support
- Assist in document preparation, filing, and
reporting.
- Support HR in executing operational projects and
process improvements.
Qualifications
- Bachelor’s degree in Human Resources, Business
Administration, or related field.
- Minimum of 3–5 years of experience in office
administration and/or HR admin.
- Experience in a tech startup, NGO, or fast-paced
environment where you’ve had to adapt quickly
- The desire to use your skills to bring about
positive social impact.
- A genuine comfort with a hybrid/multifaceted
role — you’re not looking for a pure HR position; you enjoy the variety of
owning both people and admin operations
- Strong organizational, multitasking, and time
management skills.
- Strong communication and interpersonal skills.
- Proficiency in HR systems (e.g. Personio or
similar), MS Office, Google Workspace and online collaboration tools such
as Slack.
- Strong attention to detail with the ability to
proactively problem-solve and move work forward independently.
- Reliable and accountable — you follow through on
commitments, meet deadlines, and take ownership of your work and outcomes.
- Can thrive in an agile environment where
priorities shift quickly without losing focus or momentum.
