Gross Salary: Ksh 50 – 60K,
Our
client is an engineering-led supplier of pumping systems, prime movers, power
transmission products, and industrial equipment, supporting factories,
institutions, contractors, and distributors with technical products and
engineered solutions. The organization provides warranty support, maintenance,
repairs, and ongoing technical services.
They
are seeking a highly organized and detail-oriented Sales Administrator to support
their sales team and ensure the smooth operation of sales processes. The sales
Admin will be responsible for handling sales documentation, coordinating with
internal departments, maintaining customer records, and providing
administrative support to help drive business growth.
Key Responsibilities
- Schedule meetings on behalf of the sales management team of any
nature and with any party specified.
- Assist with administrative tasks.
- Reconcile sales reports.
- Organize and schedule Sales clinics.
- Fill out comments on sales reports.
- Handle correspondence and communication regarding legal
documentation with clients on behalf of sales team members.
- Manage and update the client database, ensuring that all information
is accurate and up to date.
- Coordinate travel arrangements and itineraries, accommodation for
sales team members’ field visits and exhibitions.
- Support the planning and execution of sales events and trade shows.
- Provide administrative support for sales-related tasks and roles.
- Facilitate communication between the sales team and other
departments, such as marketing and finance when appropriate.
- Monitor and report on the progress of sales campaigns and
initiatives.
- Data mining of prospective clients and assigning these on the CRM to
the sales team.
- Assign new leads from incoming calls or messages to the sales
members via CRM.
- Assist in quotation discount reviews.
- CRM data checks on reports and compliance.
- SLA performance review
- Providing process improvement suggestions regarding any element and
dimension of sales.
- Assist with ad-hoc and random sales or administrative related tasks
that arise from absenteeism, unforeseen shocks or circumstances.
- Learn the invoicing, dispatch and front of office roles also, to act
as a back-up in case the other members are not around.
- Training junior sales admin
- Any other duties assigned.
Qualifications
- Diploma or bachelor’s degree in business administration, Sales, or a
related field.
- Previous experience in a sales support or administrative role is an
advantage
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- High level of accuracy and attention to detail
- Proficiency in Microsoft Office (Excel, Word, PowerPoint)
- Experience with CRM or ERP systems is desirable
- Ability to multitask and work under pressure
- Strong problem-solving and customer service skills
