Project Support Officer/ Project Secretary Job in Kenya - MUST

About the Project

Meru University of Science & Technology (MUST) in collaboration with Federal Institute for Materials Research and Testing (BAM) in Germany are implementing a project titled ‘Circular bio-based intelligent organic and oxide engineering ecosystems – From multiple heterogeneous sources to homogeneous high-tech materials supply streams (Circular B-I/O)’. The project is funded by Volkswagen Stiftung foundation. The project seeks to competitively fill the following open position;
Project Support Officer /Project Secretary

Key Duties and Responsibilities

  • Manage and maintain schedules, appointments, and calendars.
  • Handle incoming correspondence, emails, and phone inquiries.
  • Prepare, format, and distribute reports, presentations, and other documents related to the projects.
  • Coordinate meetings, workshops, and conferences, including logistics and materials preparation.
  • Maintain organized records of institute activities, research data, and administrative files.

  • Assist with budget tracking, invoicing, and procurement processes.
  • Support recruitment activities, including scheduling interviews and onboarding new staff or interns.
  • Liaise with internal teams, external partners, vendors, and stakeholders effectively.
  • Ensure compliance with institute policies and procedures.
  • Perform general office duties to ensure a smooth workflow.

Key skills/Personal attributes required include:

  • Strong analytical, organizational and communication (in English and French both oral and written) skills.
  • Highly motivated and independent with strong administrative skills and the ability to work effectively as part of a team.
  • Be a person of integrity and a keen eye for details.

Qualifications

  • Diploma in Business Administration / Secretarial Studies /Education or equivalent
  • Proficiency in French Language will be an added advantage
