Documentation Clerk Job in Kenya - Kikwetu Flowers

Objectives

We are seeking a detail-oriented and organized Documentation Clerk to join our dynamic Sales team. The ideal candidate will be responsible for managing and maintaining accurate records of sales documentation, ensuring compliance with company policies, and supporting the Sales department with administrative tasks.

Key Responsibilities:

  • Capture orders in the system.
  • Generate proforma/ commercial invoices from the system.
  • Follow up on the C17 for all the commercial invoices shared to clients
  • Assist in compiling sales reports as required.
  • Ensure filling of the commercial invoices and delivery note in good time
  • Maintain confidentiality of sensitive information and ensure compliance with data protection regulations.
  • Ensure that all commercial invoices are ETR certified.
  • Perform general administrative tasks to support the Sales team’s operations.

Qualifications and Skills:


  • Diploma or degree in Business Administration, Records Management, or a related field.
  • Proven experience in a documentation or administrative role, preferably in a sales department. (Preferably Flower Industry)
  • Dansoft’s knowledge is an added advantage.
  • Proficiency in MS Office Suite (Word, Excel, outlook)
  • Keen attention to detail and a high level of accuracy.
  • Excellent verbal and written communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
