Systems Analyst
managing
receivables and collections while driving accuracy in financial data, requiring
a Bachelor’s degree in Commerce with CPA(K) and 3+ years experience in credit
control, in an FMCG environment, on-site role.
Our
client is a Kenyan alcoholic beverages business built on two complementary
lines. They trade across both On-trade and Off-trade channels, serving key
accounts, HORECA, general trade, stockists and wholesale customers nationally.
A business of this shape lives on the quality of its credit control and the
speed and accuracy of its financial data, and this role sits at exactly that
point.
Role Purpose:
To manage
the company’s receivables and collections while driving accuracy, speed and
insight in the company’s financial data. The role combines day-to-day credit
control with data capture, reporting automation and the continuous improvement
of Excel and Sage processes, so that the finance team spends less time
compiling numbers and more time acting on them.
The role
holder is expected to be commercially curious, technically strong in Excel and
comfortable working across systems, and to act as the finance team’s first
point of reference for data structure, reporting tools and process efficiency.
Responsibilities
Credit Control & Collections:
Follow up
actively and promptly on collections with the sales team, key accounts and
directly with clients.
Maintain
the debt to sales ratio at or below 25% across all On-trade and Off-trade
business categories.
Obtain
sufficient information to assess the creditworthiness of new and existing
customers and recommend credit limits and terms.
Maintain
complete and correct customer records, including duly signed credit facility
agreements, bank guarantees and updated contracts.
Handle
disputed accounts and negotiate to bring payments back in line with agreed
terms.
Undertake
complex reconciliations and compile documentation to support legal action where
required.
Authorise
and approve loadings to the sales team based on approved outstanding debt
status.
Liaise
with the Finance Manager to place overdue accounts on stop supply and, where
necessary, instigate recovery proceedings.
Protect
the company’s interests at creditors’ meetings relating to insolvent customers.
Negotiate
with clients and third parties on credit information, credit insurance and debt
collection services.
Confirm
PODs daily and maintain complete filing of all documentation relating to credit
sales.
Data Capture & Integrity:
Capture
and maintain receivables, collections and customer data accurately and on time
in Sage and in supporting Excel workbooks.
Maintain
a clean, well-structured customer and debtors database, free of duplicates,
orphan records and inconsistent naming.
Reconcile
data between Sage, bank and M-Pesa statements, and sales records, and
investigate variances to source.
Design
and enforce simple data entry standards and templates so that data is captured
once, correctly, and can be reused.
Act as
custodian of the integrity of the receivables data used for management
reporting.
Reporting & Analysis:
Produce
accounts receivable outstanding and collection reports by the 2nd day of the
following month.
Prepare
reconciled debtors statements by the 2nd day of the following month and
circulate debtors statements monthly.
Coordinate
quarterly debtors circularization for debt confirmation.
Build and
maintain ageing analyses, DSO tracking, collection performance dashboards and
customer risk categorization by investment level and risk.
Turn
receivables data into insight for management: which customers, channels and
regions are slowing cash collection, and why.
Support
the wider finance team with ad hoc analysis, data extracts and modelling as
required.
Efficiency & Process Improvement:
Identify
manual, repetitive finance processes and redesign them using better Excel
structure, formulas and automation.
Build and
maintain reusable Excel tools: linked workbooks, dynamic formulas, pivot-based
reporting, Power Query data refreshes and dashboards.
Reduce
report preparation time by replacing manual re-keying with automated,
refreshable pulls from Sage.
Improve
departmental processes and procedures, including invoicing, follow-up and query
management.
Support
the improvement, configuration and better use of Sage, and participate in
system upgrades, module rollouts or data migrations.
Document
the tools and processes built, and train colleagues so that the improvements
survive beyond the role holder.
Governance & Support:
Participate
in the development of the company credit policy in liaison with sales, finance
and procurement management.
Handle
major accounts and visit customers to audit debtors positions.
Provide
information and schedules for internal and external audit exercises.
Adhere to
all company policies, procedures and business ethics codes.
Any other
duty assigned by management.
Qualifications & Experience:
Bachelor’s
Degree in Commerce, Finance, Accounting, Economics, Statistics, or a related
field.
CPA (K)
or actively progressing through the CPA/ACCA qualification.
Minimum
of 3 years’ experience in credit control, receivables or a finance analyst
role, preferably in FMCG or distribution.
A
professional certification in data analytics, advanced Excel, Power BI or Sage
is an added advantage.
Technical Skills:
Advanced
Excel is essential. The role holder must be able to demonstrate practical
command of:
Lookup
and reference formulas (XLOOKUP / INDEX-MATCH), SUMIFS, COUNTIFS and nested
logical functions
PivotTables,
slicers and structured tables for recurring reporting
Power
Query for cleaning, combining and refreshing data from multiple sources
Dynamic
arrays, data validation and dashboard building
Macros /
VBA or Power Automate are an added advantage
Hands-on
experience with Sage is essential, including:
Accounts
receivable and customer master data maintenance
Extracting,
customising and scheduling reports, and exporting clean data to Excel
Sage
Intelligence Reporting, or a comparable report writer, is an added
advantageExperience of a Sage implementation, upgrade or data migration is an
added advantage
Comfort
with Power BI or a similar visualisation tool; exposure to SQL or Python is an
added advantage.
Sound
understanding of receivables, reconciliations, credit risk assessment and the
FMCG trade credit environment.
