Key Responsibilities
- Visitor & Guest Experience – Ensure that all
visitors, clients, and guests are warmly welcomed, promptly assisted, and
comfortably hosted, including the provision of refreshments and
appropriate guidance to the right offices or personnel.
- Communication & Call Handling- Manage all
incoming calls professionally by answering within set timelines,
redirecting inquiries to the right departments, and accurately relaying
messages to support seamless communication.
- Meeting Room & Event Support – Responsible
for scheduling and preparing meeting rooms, ensuring reservations are
made, rooms are set up on time, and any booking conflicts are resolved
promptly.
- Mail, Courier & Document Management –
Oversee the receipt, sorting, and delivery of incoming mail and packages,
ensuring timely dispatch of outgoing items, and coordinate internal and
external document deliveries while maintaining accountability through
proper tracking.
- Inventory & Stationery Management – Maintain
accurate inventory records for office consumables and stationery, process
departmental requests efficiently, and ensure essential supplies are
always available to avoid stock-outs.
- Administrative Support – Provide day-to-day
administrative assistance such as printing, scanning, filing, and support
both staff and expatriates with reliable same-day turnaround on requests.
- Transport Coordination – Facilitate booking of
company vehicles and manage expatriate transport schedules, confirming all
bookings in advance to ensure smooth operations with no missed pickups or
delays.
- Fuel & Vehicle Usage Monitoring – Track and
report weekly and monthly fuel consumption, monitor fuel card balances and
site reservoirs, and maintain accurate vehicle mileage logs, supporting
both operational efficiency and budget control.
Requirements
Skills
and Experience
- Bachelors in Business Administration
- At least 5 years of working experience in a
similar position in a fast- paced environment
- Must have experience in providing support across
admin, transport and logistics
- Strong organizational abilities – able to manage
multiple tasks, appointments, and priorities efficiently.
- Proficient in office software – comfortable
using email, calendars, spreadsheets, and phone systems.
- Attention to detail – ensures accuracy in
reporting, scheduling, and documentation
