Job Purpose

The Sponsorship and Fundraising Assistant will provide administrative, coordination, and communication support to the Sponsorship and Fundraising Programme.


The role is responsible for ensuring efficient programme administration, maintaining accurate sponsorship records, supporting donor and sponsor communication, and contributing to fundraising and community engagement initiatives in line with the school’s values, safeguarding standards, and operational objectives.

Key Responsibilities

Sponsorship Programme Administration

  • Maintain accurate and up-to-date sponsorship records and databases.
  • Support the administration of sponsorship processes including admissions and documentation for sponsored children.
  • Monitor sponsorship files and ensure proper record keeping, confidentiality, and compliance with internal procedures.
  • Assist in preparing sponsorship reports, updates, and programme documentation.
  • Coordinate communication between sponsors, families, and the school where required.

Fundraising & Donor Support

  • Support the planning and coordination of fundraising initiatives and community engagement activities.
  • Assist in preparing donor communication materials including letters, acknowledgements, updates, and reports.
  • Maintain donor and sponsor databases and ensure timely follow-up on communication.
  • Support the organization of fundraising events, campaigns, and outreach activities.
  • Assist in tracking donations, sponsorship contributions, and related programme records.

Administrative & Office Support

  • Provide general administrative support to the Sponsorship and Fundraising Programme.
  • Prepare correspondence, reports, meeting minutes, and other programme documentation.
  • Maintain proper filing systems for both physical and electronic records.
  • Coordinate meetings, appointments, and stakeholder engagements where required.
  • Support procurement and logistical coordination for programme activities.

Communication & Stakeholder Coordination

  • Act as a communication link between sponsors, parents, staff, and external stakeholders.
  • Respond to inquiries professionally and in a timely manner.
  • Support internal coordination and information sharing across departments.
  • Promote positive stakeholder engagement aligned with the school’s values and safeguarding principles.

Qualifications

  • Higher Diploma or Degree in Administration, Social Sciences, Development Studies, Communications, or a related field.
  • Basic IT proficiency including Microsoft Word, Excel, email systems, and databases.
  • Training or experience in sponsorship, fundraising, donor relations, NGO administration, or community programmes will be an added advantage.
  • Knowledge of education-based or child-focused programmes is desirable.
