An unprecedented energy transition has begun. To meet 2040 net zero goals, over 2 billion electric two-wheelers (motorcycles) must be sold and $11 trillion in fuel consumption replaced. Zeno is building a tech platform to electrify this two-wheeler market, currently responsible for more than 4% of the world’s GHG emissions. The Role
Zeno is looking for a highly organized, proactive, and solutions-driven Office Manager to oversee daily administrative and operational functions within our offices in Nairobi Baba Dogo.
This
role is central to ensuring seamless office operations, financial
administration support, regulatory coordination, visitors management, and a
productive work environment for a fast-growing team and operations. You will
act as the backbone of the office—supporting, coordinating office requirements,
and ensuring operational excellence across facilities, sales, and general
business operations.
What You’ll Do:
- Office Operations & Administration:
Oversee day-to-day office management including facilities coordination,
office supplies, workspace organization, utilities, security, cleanliness
and general maintenance to ensure a safe and efficient working
environment.
- Vendor & Visitor Management: Manage
relationships with office vendors, service providers, and logistics
partners. On required occasions, negotiate contracts and ensure timely
service delivery aligned with company policies and budgets.
- Compliance & Documentation: Maintain
organized company records, licenses, regulatory documentation, insurance
files, and contracts. Coordinate compliance requirements related to sales
operations, mobility services, and local regulatory frameworks alongside
the respective department
- Leadership & Executive Support: Provide
administrative support to senior leadership including scheduling, meeting
coordination, travel logistics, visitor coordination, and internal
reporting.
- Budget Tracking & Reporting: Track
office-related expenses against budgets, prepare operational reports, and
provide insights on cost optimization opportunities.
- Cross-Functional Coordination: Act as a central
coordination point between finance, operations, sales, people, customer
support, technical teams, and field staff to ensure smooth communication
and execution of key initiatives where required
- Event & Field Support: Support planning and execution of
leadership visits, investor meetings, partner engagements, and activation
events when required.
What you bring:
- Diploma or bachelor’s degree in business administration, finance,
operations management, or a related field.
- 3–5 years of experience in office management, operations,
administration, fintech, mobility, or startup environments.
- Strong understanding of administration processes, expense tracking,
and vendor management.
- Experience working in a fast-paced startup or tech-enabled business
environment is highly preferred.
- Excellent organizational skills with strong attention to detail and
problem-solving ability.
- Strong communication skills in English and Swahili.
- Proficiency in Google Workspace, Excel/Sheets, accounting tools, and
digital collaboration platforms.
- High integrity, discretion, and ability to handle confidential
information.
- Ability to multitask, prioritize, and adapt in a rapidly scaling
organization.
