Job Summary
The Sponsorship
Officer serves as the primary conduit connecting
our sponsors with the children and communities they support. This crucial role
ensures the integrity and impact of our child sponsorship program by
facilitating meaningful, holistic communication, managing comprehensive program
records, and collaborating with cross-functional teams. The ideal candidate
will be a meticulous and empathetic professional, dedicated to communicating
the transformative impact of sponsorship while upholding the highest ethical
and child welfare standards.
Key Responsibilities
- The Sponsorship Officer will undertake various
duties to maintain good relationships with both the children and sponsors,
which include but are not limited to the following:-
- Ensure all communication is participatory and
reflects the child’s voice.
- Ensure the children reports prepared during the
year are a real reflection of their holistic development, high quality and
engaging to the recipients, both internal and external.
- Download and print all responses from the GC
System from all sponsors and ensure they same are responded to and mailed
out on time.
- In collaboration with the Voice Department and
the International Office, prepare, edit scheduled mail and dispatch to the
sponsor together with the pictures.
- Ensure accuracy and timely dispatch of
information to the sponsors, children and the internal teams.
- Ensure that all the new children admitted to the
institution are properly and timely registered into the GC System.
- Attend to all correspondence from the
International Office, the sponsors, and the children promptly as
stipulated.
- Prepare child profiles as per international
office requests and as soon as any child is admitted.
- Screen parcels and letters from sponsors and
distribute them to respective children on a daily or weekly basis,
depending on the Flow-In.
- Review content prepared by the Children, Voice
Dept, Program Assistant, verify the information included on the GC System
and video for validity and approve for sending accordingly.
- Systematically build and nurture relationships
with the different sponsors and children, plus the organization to ensure
long term support.
- Ensure teamwork is adhered to within the
department and the entire organisation.
- Support the children to understand their
responsibility in contributing towards the Sponsorship program while
carrying out the sponsorship M&E.
- Writes memos, takes minutes of sponsorship
meetings and gives replies to general queries as instructed.
- Sorts out information for the purpose of
children’s progress sponsorship letters from other departments at the
organisation.
- Support the Voice Dept, International Office and
Welfare Dept – the Sponsorship officer will be required to access the
Children, M-Software and the GC System for information and weekly updates
on Sponsorship.
- To work with the organisation’s Policies,
Standard Operating Procedure Documents and other related Guidelines to
enhance quality in Sponsorship work and implementation.
- Support the facilitation of annual
organisational events and training for the children, community and staff
members.
- Support in the process of developing the GC
System and Voice Dept Digital Content at the facility level.
- Review pictures, videos and letters of
individual children and make sure they are up to the standards before
posting and approving for sending to sponsors.
- Maintain an organised documentation system that
has been laid out for the Sponsorship Department, as well as generate
feedback to the immediate supervisor.
- Work with the Education and Welfare department
to ensure that all children’s files have the required legal documentation
both internally and externally.
- At all times ensure that personal data of the
child, sponsors, and their families as well as MMKF / MMLC co-workers is
handled confidentially and in accordance with prevailing Kenyan and
International data protection laws.
Qualifications and Experience
- A Bachelor’s degree in Social Sciences, Social
Work, Community Development, Administration, Education, or International
Relations.
- A minimum of two (2) years of proven experience
in social work, case management, or a child sponsorship program,
preferably in an NGO setting.
- A strong understanding of child protection
policies and best practices.
- Proficiency in English and Kiswahili, with
excellent written and verbal communication skills.
- Competence in using computer software, including
Microsoft Word and Excel.
- Photography skills will be an added advantage.
- Previous experience in handling sponsorship
activities in a child-focused organization will be an added advantage.
