Reporting to: Sales Manager
We
produce high-quality rose stems for export. We supply a wide assortment of
Roses all over the world every day fresh. Quality is our key deliverable, and a
happy customer is our main goal at Kikwetu Flowers.
Objectives
We are
seeking a detail-oriented and organized Sales Clerk to join our dynamic Sales
team. The ideal candidate will manage and maintain accurate records of sales
and export documentation, ensure compliance with internal and external
policies, and support the Sales Department with essential administrative tasks.
Key Responsibilities:
- Send with each shipment all documents including
invoice, HCD certificate, delivery against order & confirmation
report.
- Filing of clients’ portfolio documents hard
copies or soft copies in time and accurately
- Check the airport Dockets and ensure they have
the right number of boxes
- Follow up with the shipping agents that all the
flight has departed
- Apply the Phyto, HCDA and COO without errors
- Prepare the shipping documents for the airport
clerk
- Ensure no claim from clients and shipping agents
related with documents.
- When shipment is closed prepare the commercial
invoice with ETR number on a daily basis.
- Ensure all the documents are emailed to the
clients the day of the shipment date and printed, signed and stamped in 3
copies for customs and Kephis stamping; you check and file the company
copy the following day of the shipment.
- Ensure all boxes are well labelled and prepare
loading summary
- File daily all the documents as per the company
policy. keep shipment document in dead archive up to 7 years as per the
tax regulations in Kenya.
- Follow with the shipping agents for the C17
apply the HCD certificate and make sure the same are sent to the shipping
agent.
- Process all the credit notes and hand over to
the respective signatories for signing immediately they are shared
(Maximum of 2 days from the date email was shared)
- Carry out any other activities at the request of
the management.
Qualifications and Skills:
- Certificate or diploma in Business
Administration, Sales management, or a related field.
- Experience in floriculture, horticulture export,
or shipping documentation is a strong advantage.
- Strong organizational and multitasking skills.
- Dansoft knowledge is an added advantage.
- Proficiency in MS Office Suite (Word, Excel,
outlook)
- Keen attention to detail and a high level of
accuracy.
- Excellent verbal and written communication
skills.
- Ability to work independently and
collaboratively in a fast-paced environment.
