Job Description
The Assistant
Office Administrator II will provide
administrative and clerical support to ensure efficient office operations. The
role requires a well-organized individual capable of managing communication,
correspondence, and office logistics.
Key Responsibilities
- Handle incoming and outgoing correspondence,
including emails, letters, and memos.
- Manage filing systems and ensure safe custody of
office records and documents.
- Schedule meetings, prepare agendas, and take
minutes during official functions.
- Provide secretarial support services including
typing, photocopying, and data entry.
- Assist in the preparation of reports, briefs,
and other office documentation.
- Maintain inventory of office supplies and raise
requisitions as necessary.
- Coordinate travel arrangements, accommodation,
and logistics for staff and visitors.
- Handle telephone calls and inquiries courteously
and professionally.
- Ensure confidentiality of official information
and documents at all times.
Requirements for Appointment
For
appointment to this grade, a candidate must have:
- Satisfactorily served as Assistant Office
Administrator III, Grade NCPD 9, or an equivalent position in a comparable
organization for a minimum of three (3) years;
- Diploma in Secretarial Studies from the Kenya
National Examinations Council (KNEC);
- . Business Education Single and Group
Certificates (BES & GC) Stages I, II, and III from KNEC in the
following subjects: a. Shorthand III (minimum 110 w.p.m.) b. Typewriting
III (50 w.p.m.) / Certificate in Computerized Document Processing III c.
Business English III / Communications II d. Commerce II e. Office Practice
II f. Secretarial Duties II g. Office Management III / Office
Administration and Management III
- Proficiency in computer applications; and
- Fulfilled the provisions of Chapter Six of the
Constitution.
