Assistant Office Administrator Job in Kenya - NCPD

Job Description

The Assistant Office Administrator II will provide administrative and clerical support to ensure efficient office operations. The role requires a well-organized individual capable of managing communication, correspondence, and office logistics.

Key Responsibilities

  • Handle incoming and outgoing correspondence, including emails, letters, and memos.
  • Manage filing systems and ensure safe custody of office records and documents.
  • Schedule meetings, prepare agendas, and take minutes during official functions.
  • Provide secretarial support services including typing, photocopying, and data entry.
  • Assist in the preparation of reports, briefs, and other office documentation.
  • Maintain inventory of office supplies and raise requisitions as necessary.
  • Coordinate travel arrangements, accommodation, and logistics for staff and visitors.
  • Handle telephone calls and inquiries courteously and professionally.
  • Ensure confidentiality of official information and documents at all times.

Requirements for Appointment


For appointment to this grade, a candidate must have:

  • Satisfactorily served as Assistant Office Administrator III, Grade NCPD 9, or an equivalent position in a comparable organization for a minimum of three (3) years;
  • Diploma in Secretarial Studies from the Kenya National Examinations Council (KNEC);
  • . Business Education Single and Group Certificates (BES & GC) Stages I, II, and III from KNEC in the following subjects: a. Shorthand III (minimum 110 w.p.m.) b. Typewriting III (50 w.p.m.) / Certificate in Computerized Document Processing III c. Business English III / Communications II d. Commerce II e. Office Practice II f. Secretarial Duties II g. Office Management III / Office Administration and Management III
  • Proficiency in computer applications; and
  • Fulfilled the provisions of Chapter Six of the Constitution.
